The Administrative Officer for the Registry Department is responsible for providing administrative and operational support to ensure the effective management of student records, academic documentation, and regulatory compliance. The role supports the Registrar in maintaining the integrity, confidentiality, and accuracy of institutional data and ensures compliance with the Malaysian Qualifications Agency (MQA) and Ministry of Higher Education (MOHE) requirements.
Key Responsibilities
Student Records Management
Maintain and update student records, admission files, and academic transcripts accurately.
Manage registration, re-registration, and withdrawal processes.
Ensure data integrity in the Student Information System (SIS).
Admissions and Enrolment
Support the admission process, including verifying documentation, processing applications, and preparing offer letters.
Coordinate orientation and registration activities for new students.
Examination and Academic Administration
Assist in the preparation of examination timetables, invigilation schedules, and results processing.
Maintain records of grades, progression, and graduation eligibility.
Compliance and Reporting
Prepare reports for MOHE, MQA, and other regulatory bodies as required.
Support programme accreditation and audit documentation.
Student Services and Communication
Respond to student inquiries regarding academic status, transcripts, and other registry matters.
Coordinate the issuance of official documents such as offer letters, confirmation letters, and transcripts.
Administrative Support
Assist in meetings, minute taking, and maintaining proper filing systems (both physical and digital).
Provide general administrative support to the Registrar's Office.
Job Requirements
Education:
Bachelor's Degree in Administration, Management, Education, or a related field.
Diploma holders with relevant experience may be considered.
Experience:
Minimum 1 years of working experience in academic administration, preferably within a higher education institution (IPTS or IPTA).
Familiarity with MOHE and MQA procedures and regulations is an added advantage.
Skills and Competencies:
Strong organizational and administrative skills.
Excellent written and verbal communication skills in English and Bahasa Malaysia.
High attention to detail and accuracy in data management.
Proficient in Microsoft Office and student information systems (SIS).
Ability to handle confidential information with integrity.
Team player with good interpersonal skills and the ability to multitask.
