Job Description

Job Responsibilities



1. Administration



Oversee and coordinate all administrative tasks for the Sales Department, including reviewing and approving Customer Enquiry Forms, Quotation Requisition Forms, Quotations, Booking Confirmations, Lease/ Rental Agreements, Vehicle Requisition Forms, Requests for Payment, General Letters, and other relevant documents. Ensure accuracy and completeness of all sales documentation prior to submission to management or clients. Lead the monitoring and updating of Master Monthly Sales reports, Master Reference Number Reports, and other departmental reports, ensuring accuracy and timeliness. Review and validate customer billing to ensure compliance with contractual terms and company policies. Liaise with other departments to ensure efficient handling of sales, marketing activities, customer queries, and delivery coordination. Verify orders, including validating customer personal information, credit terms, and payment details prior to processing. Maintain and update sales and customer records in CRM/ database with high accuracy, ensuring information is readily available for management review.

2. Sales



Act as the primary administrative support to the Sales team, ensuring timely processing of new sales leads and opportunities. Monitor sales target progress and highlight gaps or variances to the Sales Manager for follow-up action. Manage client communication for administrative matters, ensuring queries are responded to promptly and accurately. Gather and consolidate feedback from customers, escalating key issues to the relevant departments for resolution.

3. Collection



Coordinate with Sales and Finance teams to control, monitor, and follow up on customer payments, ensuring collections are within the targeted timeline. Generate collection status reports and recommend actions to expedite overdue payments.

Critical Skills



Diploma or Bachelor's Degree in Business Administration, Marketing, Economics, or related disciplines from a recognized institution. Minimum 2 - 3 years of experience in sales administration or a related field; experience in the automotive or leasing industry is an advantage. Strong organizational skills with the ability to manage multiple priorities and meet tight deadlines. Excellent communication and interpersonal skills in both Bahasa Malaysia and English (spoken and written). High attention to detail, with the ability to identify and resolve discrepancies in documents or data. Proficient in Microsoft Office Suite and experienced in using CRM systems. Able to work independently and lead administrative processes while collaborating effectively with team members.

Pay: RM2,500.00 - RM4,600.00 per month

Education:

Diploma/Advanced Diploma (Preferred)
Experience:

Sales Administration: 2 years (Preferred)
