The incumbent will be primarily performing duties relating to Compensation and Benefits and Performance Management

Responsibilities:

Payroll Management

  • Ensure timely and accurate payroll processing, reconciliation on firmwide basis
  • Maintain payroll record and HR database as per legal requirement and compliance to PDPA
  • Verify data inputs of all new staff details into the HR systems
  • Verify the data converted from OT hours into OT Leave
  • Verify the staff listing for timely insurance enrolment/termination
  • Timely submission of monthly statutory deduction/contribution in accordance with statutory requirements and regulations
  • Ensure timely updates to statutory bodies on notification of new hires/resignees by staff
  • Ensure timely submission of payroll journal, headcount report and leave provision to Finance
  • Ensure timely submission of reconciliation reports to member firms outside Malaysia
  • Verify payment vouchers raised by staff
  • Keep abreast with latest revision to statutory requirements and regulations to effect changes in time
  • Main liaison with software vendor to ensure latest statutory formats are updated and maintained in the HR system
  • Main liaison with the bank for payment setup for staff salary crediting
  • Ensure timely issuance of invoices to other member firm for advanced salary payment and recovery of cost, if any
  • Ensure timely issuance of promotion/increment letters
  • Ensure to prepare EA forms for staff and submit E forms before deadline
Exit Clearance
  • Ensure statutory compliance of timely tax clearance with Inland Revenue Board
  • Coach staff on processing of resignation obtain clearance from HoDs identify any breach of training contract acceptance of resignation staff's request for testimonial ensure completion of exit questionnaire and proper exit clearance collaboration with other departments
Leave Management
  • Strategize the leave management plan from communication to executive of leave encashment/forfeiture
  • Coach staff on leave administration ensure accuracy of leave records verify medical certificates against leave applied into system timely reconciliation of leave record in HR system against Timesheet timely notification of leave provision details to the Finance Department
Other Duties
  • Ensure timely submission of Global financial reports/headcount reports
  • Ensure timely submission of statutory surveys as and when required
  • Assist in completion of remuneration survey carried out by government bodies / market data service provider such as Mercer, Towers Watson etc.
  • Assist in Mid-Year &Year-End Performance Review exercises
  • Registration of new entity or notification of exiting from business with statutory bodies
  • Assist in statutory documentation and engagement team members' data required for business proposals
  • Employment reference checks/verification from external parties
  • Managing incentive claims from Government as and when required
  • Work closely with others on staff movement and salary movement in relation to enrolment/termination of member for insurance coverage

Requirements :
  • Degree /Diploma in Human Resources or IT or any related discipline
  • Minimum 6 years' experience in payroll process including pre and post payroll preparation
  • IT savvy with Advanced level Excel a must-have skill
  • Power BI skills (build Dashboards) and knowledge in robotic process automation an added advantage
  • Analytical, organizing & planning skills
  • A matured and committed team player
  • Independent and able to work extra hours when required to meet tight datelines
  • High level of attention to detail and accuracy
