will be responsible for overseeing and coordinating all export operations.
This includes preparing export documentation, liaising with shipping lines and freight forwarders, arranging container bookings, monitoring stock readiness, communicating with buyers for approvals, and ensuring timely dispatch of shipments.
The role requires strong attention to detail, excellent coordination skills, and a good understanding of international trade and export procedures.
Key Responsibilities1. Export Coordination
Coordinate the
entire export process
from order confirmation to shipment.
Ensure all
export documentation
(invoices, packing lists, certificates, etc.) is accurately prepared in compliance with buyer and destination requirements.
Liaise with
sales, quality control, and warehouse teams
to ensure the right stock is prepared and available on time.
Obtain
buyer approvals
for product lists, photos, and loading plans before shipment.
2. Shipping and Logistics
Communicate and negotiate with
shipping lines, freight forwarders, and transport companies
to arrange container bookings and shipments.
Track vessel schedules, sailing dates, and transit times.
Ensure containers are booked in line with delivery schedules and customer deadlines.
Follow up on
Bill of Lading
issuance and other shipping documents after loading.
3. Documentation & Compliance
Prepare and verify all
export-related documents
, including:
Commercial Invoice & Packing List
Bill of Lading instructions
Certificate of Origin (if required)
Phytosanitary and fumigation certificates (specific to lumber exports)
Coordinate with
chambers, inspection agencies, and authorities
to secure necessary approvals or endorsements.
Ensure compliance with
customs, export, and destination-country regulations
.
4. Stock and Order Management
Maintain updated
stock and order tracking sheets
for all ongoing shipments.
Coordinate with the warehouse/sawmill teams to ensure
stock is ready, properly packed, and labeled
.
Track and update management on
loading progress, shipment status, and documentation timelines
.
Communicate proactively with buyers regarding shipment readiness and updates.
5. Communication & Reporting
Serve as the
main operational liaison
between the company, buyers, and shipping agents.
Provide regular updates to management and sales teams on
shipment schedules, issues, and performance
.
Maintain accurate and organized records of all export activities and documentation.
Handle any operational issues or delays professionally and efficiently.
Qualifications & Skills
Essential:
Minimum
3-5 years of experience
in export operations, shipping coordination, or international logistics (preferably in the lumber, timber, or commodity sector).
Strong knowledge of
export documentation, Incoterms, customs procedures, and shipping processes
.
Ability to liaise effectively with
shipping lines, freight forwarders, and clearing agents
.
Excellent communication and coordination skills.
Proficiency in
MS Excel, Word, and email correspondence
(knowledge of ERP or CRM systems is an advantage).
Attention to detail and ability to manage multiple shipments simultaneously.
Strong problem-solving and time-management skills.
