Assist in managing building services and monitoring key performance indicators, service statistics, and trends to ensure alignment with Business Unit requirements.
Assist in managing client communications through daily interactions with all levels of the Business Unit (e.g., Intranet, Facilities email, Government letters).
Monitor and execute all implemented maintenance initiatives/projects as scheduled.
Handle Record Management.
Assist in dealing with various vendors for ad-hoc repairs, including sourcing quotations.
Check and verify all vendor invoices in the SAP system, including handling payment disputes.
Assist in handling mandatory renewal of the refinery's government licenses, permits, assessment tax, land fees, transportation licenses, etc.
Assist in preparing tender documents and schedules of rates.
Assist in preparing Opex and Capex during the Planning & Budgetary cycle.
Assist in allocating and managing office space and renovations in the building.
Prepare and review all permits and job scope analyses from contractors before acquiring approval.
Prepare various reports using Microsoft Office (Excel, Word, PowerPoint, etc.).
Establish and handle the filing system for all invoices and other documents.
Perform any other duties as instructed by superiors.
Qualifications:
Diploma or Certificate in Facilities Management, Business Administration, or a related field.
Proficient in SAP and Microsoft Office (mandatory).
Minimum of 3 years of experience in a facilities, administrative, or finance support role.
Knowledge of basic accounting principles related to invoicing and payment processes.
Proficiency in AutoCAD is an added advantage for space planning and layout management.

Pay: RM2,500.00 - RM3,000.00 per month
