Job Purpose
The Finance & Administrative Executive plays a pivotal role in supporting the Finance Director and BPO-Finance in the implementation of the ERP system, as well as other assigned tasks. This position requires strong organizational, communication, and problem-solving skills to effectively manage administrative functions and contribute to the overall success of the project.
Key Responsibilities
Administrative Support

Assist the BPO-Finance with project-related administrative tasks, such as preparing reports, presentations, and correspondence. t t * t
Maintain organized records of project documentation, including contracts, training materials, UAT files, and system specifications. t t * t
Coordinate document flow between departments to ensure timely review and feedback. t
Scheduling and Coordination

Support BPO-Finance in planning and scheduling meetings, workshops, and training sessions for the ERP implementation team and key stakeholders. t t * t
Ensure schedule alignment to facilitate resource availability for critical project milestones. t t * t
Track deadlines and assist the team in meeting project timelines. t
Communication Management

Disseminate project updates and relevant information to stakeholders as directed by the BPO-Finance. t t * t
Provide reminders and follow-ups to ensure timely completion of tasks and deliverables. t
Logistical Support

Arrange meeting venues, including technology setup, materials preparation, and refreshments as required. t t * t
Manage travel arrangements for team members attending off-site training sessions. t t * t
Assist in the procurement of equipment, software, and tools necessary for ERP implementation. t
Training Assistance

Coordinate user training sessions for BPO-Finance, including scheduling, registration, and attendance tracking. t t * t
Distribute training materials and provide administrative assistance during workshops. t t * t
Collect and compile feedback from training sessions, assisting in result analysis and reporting. t
Problem-Solving and Adaptability

Support troubleshooting of administrative and logistical challenges encountered during ERP implementation. t t * t
Adapt to dynamic project needs and assist the team in identifying and implementing efficient solutions. t
Other Tasks

Assist the Finance Director with presentation materials (PowerPoint), report preparation (Excel), and data tracking or monitoring activities. t t * t
Perform other administrative duties as assigned by the Finance Director to support the Finance Department. t
Education and Experience
t * t
Bachelor's degree in Business Administration, Finance, Accounting, or IT (preferred). t t * t
Minimum 2 years of related working experience. t t * t
Proficient in Microsoft Office applications (Excel, PowerPoint, Word). t t * t
Strong organizational, communication, and interpersonal skills. t t * t
High attention to detail and ability to multitask effectively. t t * t
Team-oriented, adaptable, and proactive in managing changing priorities. t
