The Finance Executive is responsible for managing and maintaining accurate financial records, ensuring compliance with internal policies and statutory regulations, and supporting the company's financial operations. This includes handling daily bookkeeping, student financial matters, financial reporting, and ensuring timely and accurate processing of all financial transactions.
Perform daily bookkeeping, including accounts receivable (AR) and accounts payable (AP) entries.
Process customer invoices, payments, and credit notes accurately and promptly.
Reconcile intercompany, bank, and other account transactions regularly.
Process petty cash transactions, replenishments, and conduct periodic petty cash counts.
Process staff claims and verify completeness of supporting documents in compliance with company policies.
Review payment vouchers, bank and petty cash control sheets before submission.
Update the bank book weekly and provide accurate bank summaries twice per week.
Ensure all payments are made in a timely manner and transactions are processed daily in the accounting system.
Verify and reconcile payables, receivables, and other financial data.
2. Student Financial Management
Maintain accurate financial records for students, including scholarships, loans, refunds, and related transactions.
Issue invoices for tuition fees, accommodation charges, additional services, penalties, and other student-related items.
Ensure timely collection and delivery of invoices to students and banks according to due dates.
Track and process security deposit refunds accurately and on time.
Handle inquiries from students and parents professionally and efficiently.
Ensure all financial transactions comply with internal financial policies, accounting standards, and statutory requirements.
File and maintain supporting documents for all payments and claims, including vouchers, receipts, and approvals.
Prepare purchase orders and obtain necessary approvals in line with company procedures.
Manage filing and archiving of all AP/AR documents (invoices, vouchers, memos, reports, and adjustments).
Responsible for fixed assets management and ensuring records are up to date.
Reinforce financial data confidentiality and conduct regular database backups.
Support audit preparation and participate in internal and external audit processes.
4. Communication & Administrative Support
Respond to and clear financial-related emails daily.
Collaborate with relevant departments to ensure smooth financial operations.
Support the Head of Department in financial matters and ensure effective management of resources.
Perform any additional tasks as assigned by the Immediate Superior or Management.
Qualifications & Key Competencies:
Bachelor's Degree
in
Accounting, Finance, or a related field
from a recognized university.
Professional certification (e.g., ACCA, CPA, CIMA, or equivalent) will be an
added advantage
.
Minimum
1-3 years of relevant working experience
in accounting or finance.
Strong understanding of accounting principles, financial reporting, and bookkeeping practices.
Proficient in accounting software and Microsoft Office applications (Excel, Word, Outlook).
Excellent attention to detail, accuracy, and analytical skills.
Strong organizational and communication abilities.
Ability to meet deadlines and handle multiple priorities effectively.
High level of integrity, confidentiality, and professionalism in all financial dealings.
