Job Description

Job ResponsibilitiesFixed Asset Management:

• Asset Tracking and Recording: Ensure accurate and timely recording of fixed assets in the system. This includes initial recognition, asset classification, and documentation.
• Depreciation Calculation: Compute monthly depreciation for fixed assets and update the depreciation schedules in accordance with the company's policies and accounting standards.
• Asset Disposal & Retirement: Process asset disposals, retirements, and transfers, and ensure all relevant accounting entries are made accordingly.
• Month-End Closing: Assist in fixed asset-related activities during month-end closing, including preparation of reports.

Repair and Maintenance Invoice Matching: * Invoice Processing: Review, match, and verify repair and maintenance invoices against purchase orders, contracts, and work orders.

• Cost Allocation: Ensure accurate allocation of repair and maintenance costs to appropriate cost centres or projects.
• Discrepancy Resolution: Investigate and resolve any discrepancies between the invoices and the corresponding purchase orders or contracts.
• Vendor Liaison: Communicate with vendors and internal departments to address any issues or clarifications related to invoices and payments.
• Timely Payments: Ensure that repair and maintenance invoices are processed and paid within the company's payment terms.
• Migration to e-invoice: Onboard all R&M suppliers to EDI invoice to minimize manual data entry,

Stakeholder Liaison & Reporting: * Cross-Functional Collaboration: Work closely with other departments such as BDD, Procurement, and IT to ensure proper tracking and accounting of fixed assets and maintenance activities.

• Stakeholder Communication: Act as the point of contact for all stakeholders (internal and external) regarding fixed asset and repair/maintenance-related queries.
• Policy Adherence: Ensure compliance with company policies, accounting standards, and tax regulations regarding asset management and cost control.

Process Improvement: * Systems Optimization: Suggest improvements and assist in the implementation of enhanced systems or processes related to fixed asset management and invoice matching.

• Automation & Efficiency: Explore opportunities to automate routine tasks, improve accuracy, and enhance operational efficiency in the areas of fixed assets and repairs/maintenance invoicing.

Non-core: * Commercial analysis: Perform ad-hoc analysis and support to various departments, including Finance, Operations, People and so on.

• Others: Manage or assist with special projects and tasks as assigned by superior

Job Requirements

• Candidate must possess at least Bachelor's Degree in Accounting/Finance or its equivalent
• Candidate must possess at least 5 years of working experience in similar role
• Proactive and able to work under pressure to meet deadlines
• Dedicated and very positive work attitude
• Knowledgeable in Oracle would be an added advantage
