The GBS Admin Executive works in collaboration with the wider Global Business Services (GBS) functions to provide consistent support of the day-to-day needs of MY GDC\'s physical office space and employees as well as supporting global initiatives. This person will work closely with the HR Director/Site Leader to uphold the company culture and our mission, vision, and values in all that we do. The ideal candidate views Experian\'s employees as key stakeholders and works to ensure positive employee\'s experience.

Responsibilities include:

Project Management

  • Handling all aspects of GBS operations (comprising but not limited to managing Housekeeping, Material Movement, Front Office Management, Inventory Management, etc.)
  • Works closely with the HRD/ Site Leader and Global Office Operations to support integration efforts to consolidate vendors, centralize processes, develop efficiencies, and champion regional and global initiatives and office operations process improvements
  • Provides support for the company\'s Environmental Social Governance (ESG) and Corporate Social Responsibility (CSR) initiatives
Administration:
  • Maintain a comprehensive list of actions and follow up items and issue timely reminders as needed
  • Prepare and submit travel expense reports and receipts in accordance with Experian travel policy.
  • Manage meeting logistics - book meeting rooms and associated facilities (IT equipment, catering etc), coordinate attendees and issue meeting invitations with all relevant meeting information & logistics
  • Co-ordinate and book business travel including flights, accommodation and ground transportation as required and in accordance with Experian Travel Policy, ensuring appropriate approvals, updating the calendar and preparing a comprehensive itinerary for each trip.
  • Schedule and co-ordinate regular meetings/calls with SLT, managers, direct reports, teams/team members and key stakeholders ensuring most appropriate medium (face-to-face, audio conference, MS Teams , video conference etc), coordinating availability and rescheduling as necessary.
  • Meet and greet visitors, including collection from reception etc.
  • Learning & Development administration, e.g., HRDF, Training Records, etc.
Security:
  • Handling all aspects of Physical Security, including but not restricted to ensuring optimum functioning of all Security and Access Control Systems, e.g., electronic access functions involving assigning / revoking, reconciliation of data, report generation etc. With a view to ensure implementation of and compliance with all Information & Security Policies.
  • Business Continuity Planning
Procurement and Inventory Management:
  • Timely procurement to make sure office supplies and pantries supplies are refilled throughout the office at regular intervals.
  • Working closely with site operations & facilities management team.
Purchase Functions:
  • Ensure time procurement of items required are procured by adhering / complying with all aspects of Experian Purchase policies.
  • Raise and process Purchase Requisitions as needed, ensuring correct cost coding and approvals, and following up on order and delivery status.
Audits: Always ensure audit readiness by complying with and enforcing Experian Policies.

Employees-related support
  • Coordinate onboarding of new hires with assigned buddies, ensuring appropriate acquisition and assignment of IT equipment, desk space and other introductions and induction training
  • Coordinate and support Team/All Hands Meetings and Social Events
  • Collaborate with colleagues across the businesses to increase employee\'s engagement in various internal events.
  • Maintain updated curriculum database and training records.
Qualifications
  • Previous experience of providing administrative support to senior level management in a multi-national corporate environment
  • Excellent and effective written and verbal communication skills in English - other languages useful
  • Proficient and confident with all Microsoft Office packages
  • Extremely organised with excellent time management skills
  • Able to prioritise and manage changing and conflicting priorities, able to multi-task as needed
  • Reliable, dependable and flexible - willing to \'pitch in\' and \'go the extra mile\' when required
  • High standards of accuracy, quality, and attention to detail
  • Ability to maintain confidentiality at all times
  • Ability to work independently without close supervision
  • Strong team player, able to build and maintain relationships at all levels of the team
