An exciting HR Administrator job has just become available at the world-leading providers of industrial machine visions systems based in Penang. This company provides systems, solutions and services to its international customers from various industries including logistics, electronics, semiconductor, etc. through a network of group companies located in North and South America, Europe, Australia, and Asia, as well as through a global network of sales and service partners.

About the HR Administrator Role:
The HR Administrator is responsible for overseeing personnel and daily operations of company\'s human resources department in Southeast Asia.

Key Responsibilities:

HR Management

  • Develop and implement HR strategies and initiatives aligned with the overall business strategy
  • Write, regularly review HR policies and procedures, and update the employee handbook
  • Bridge management and employee relations by addressing demands, grievances, or other issues
  • Manage the recruitment and selection process
  • Drive equality and diversity as part of the company culture and recruitment strategy
  • Determine the training and development needs of staff, as well as organising external or internal training programmes
  • Assist with performance reviews across departments, create performance improvement plans
  • Review and enhance employee compensation and benefits plan to retain, attract top talent
  • Create regular reports and presentations on HR metrics (e.g. turnover rates)
  • Lead presentations regarding workplace ethics, teamwork, and productivity
  • Nurture a positive working environment
  • Ensure the company remains compliant with current employment law, policies, and regulations
HR Administration/Coordination
  • Organise and maintain HR employee records
  • Update internal databases (e.g. leave of absence, sick days)
  • Prepare HR documents, like job offers, employment contracts, new hire guides
  • Liaise with local authorities on employment matters including work pass applications and/or government-related claims
  • Oversee employee probationary periods
  • Onboard/induct new staff in a timely manner employing the company processes and formally introducing them to the company, their colleagues and their new roles and helping them to settle in
  • Work with payroll outsourcing services to ensure employees get paid on time
  • Off-board departing staff in a timely manner employing the company processes and through conducting exit interviews
  • Support senior management with the termination of employee employment when necessary
  • Support the head office and international HR teams to specify and implement group level HR systems and policies.

To succeed in this HR Administrator role, you will need in-depth knowledge of local labour laws, legislation in Malaysia, and have a high level of integrity and sense of responsibility with commitment to good governance.

Key Requirements:
  • Degree or equivalent in Human Resources or related field
  • Minimum of 10 years\xc2\xb4 relevant work experience as an HR Manager or HR Executive
  • Be a natural leader, able to work independently with minimal supervision
  • Ability to handle sensitive employee and company information with confidentiality and discretion
  • Be a team player, capable of handling high degrees of ambiguity
