Job Description

Are you a highly organized and detail-oriented professional looking for a challenging role that spans Human Resources, Administration, Payroll, and Procurement? We are seeking an energetic and dedicated HR & Admin Executive to join our team.

This role is critical to the smooth functioning of our daily operations and requires a proactive individual who can manage multiple responsibilities effectively.

Key Responsibilities:

1. Human Resources & Payroll Management

Payroll Administration: Manage the full cycle of monthly payroll processing, including calculating wages, allowances, deductions, and ensuring timely disbursement.

Statutory Compliance: Ensure accurate and timely submission of statutory payments (e.g., EPF, SOCSO, EIS, Income Tax) and annual tax forms (EA/EC).

HR Administration: Handle end-to-end HR administrative tasks, including maintaining employee records, managing leave administration, and assisting with recruitment and onboarding processes.

Policy Enforcement: Assist in communicating and ensuring compliance with company HR policies and procedures.

2. Procurement & Tender Administration

ePerolehan Management: Manage and execute all processes related to ePerolehan, including registration, quotation submission, and tender document preparation through the platform.

Tender Administration: Oversee the administrative aspects of tender submissions, including compiling necessary documents, ensuring adherence to deadlines, and maintaining proper tender records.

Vendor Management: Assist in sourcing, evaluating, and maintaining relationships with vendors and suppliers.

3. Administrative & Financial Support

Work Order & Invoicing: Proactively follow up on customer work orders from initial receipt through to completion.

Invoicing: Prepare and issue accurate invoices to customers in a timely manner and assist with payment collection follow-up.

General Administration: Manage office supplies, assist in the maintenance of office equipment, and handle general administrative duties to ensure efficient office operations.

Document Control: Ensure proper filing and archiving of all HR, payroll, procurement, and financial-related documents.

Job Requirements:

Minimum Qualification: Possess a Minimum Diploma in Human Resources, Business Administration, Accounting, or a related field.

Experience: A minimum of 2 years of working experience in an HR/Admin role, preferably with hands-on experience in payroll processing and/or procurement.

System Knowledge: Must have experience and familiarity with the ePerolehan system.

Skills:

Strong knowledge of Malaysian labour law and statutory requirements for payroll.

Excellent numerical skills and a high degree of accuracy and attention to detail.

Proficient in Microsoft Office (Word, Excel, PowerPoint).

Able to manage multiple tasks, prioritize effectively, and meet tight deadlines.

Strong written and verbal communication skills in English and Bahasa Malaysia.
