HR AND PAYROLL ADMINISTRATOR

Location: Malaysia
(Menara Dana 13, Pusat Perdagangan Dana 1, Jln PJU 1A/46, PJU 1A)
(walking distance to Ara Damansara LRT Station, Selangor)

What You Will Do

Employee Relation

  • To ensure all HR and Admin policies are up-to-date and communicated to employees.
  • To oversee and manage Industrial and Employee Relations matters, employees\xe2\x80\x99 welfare, environment, safety and health, including staff discipline, grievances, domestic inquiries and other related activities.

Recruitment

  • Coordinate recruitment advertisement.
  • Communicate with recruitment agencies on open vacancies
  • Inform IT to prepare for new joiner company laptop and setting up of account in
  • Prepare for on-boarding 1. Prepare offer letter
    2. Submit to IT for email creation
    3. Conduct induction
    4. Send welcome email to new joiner request for personnel data and tax form
    5. Send email to grp-all for introduction to new joiner
    6. Update WD to confirm hiring, joining date, offer letter and personal info, and subsequent maintenance of WD

Prepare For Off-boarding

  • Prepare release letter and submission to WD
  • Submit to IT for account termination/deactivate
  • Attend exit interview

Compensations and Benefit and Payroll Administration

  • Manage payroll and administration for UK, Germany, Hong Kong, MY and SG.
  • Ensure compliance with statutory regulation in each country
  • Verify staff annual income for tax declaration for UK, MY and SG
  • Submit monthly input data to payroll vendor for payroll processing
  • Review payroll report from payroll vendor
  • Prepare payroll variance report for CFO approval
  • Submit monthly statutory contribution and payment for HRDF, EPF, SOCSO, EIS, Zakat
  • Prepare document submission for Singapore government paid childcare leave, national service etc.
  • Submit to Singapore MOM on quarterly survey report /as and when required.
  • Draft and circulate office closure emails for Public Holiday.
  • Coordinating with office maintenance vendors and procurement of basic office necessities.

Finance & Accounting

  • Verify NT global staff expense claims in Acumatica in accordance to Group\xe2\x80\x99s policy.
  • Verify NT global vendor invoice that related to HR and payroll matters
  • Prepare payroll journal for UK, Germany, Hong Kong, Indonesia, MY, and SG
  • HSBCnet administrator \xe2\x80\x93 Submit bank mandate for online banking upon request by finance
  • Payroll upload file \xe2\x80\x93 Submit to HSBCnet online banking
  • Attend to finance request as and when

What Do We Want

  • Certificate in Human Resource Management or equivalent.
  • Highly organized in maintaining records and meticulous.
  • Well-versed with Labour Laws, Industrial Relations Law and practice to assist in implementation and enforcement of Human Resources policies and procedures.
  • A mature team-player, resourceful, self-motivated with high integrity, ability to maintain confidentiality.
  • Experience in using ERP system; and proficient in MS Office applications.
  • Excellent communication and interpersonal skill.
