Job Description

We are seeking an HR Assistant to join our dynamic HR team. The HR Assistant will provide administrative support and assist in various human resources functions, including recruitment, staff documentation, reporting, and day-to-day HR operations.

Key Responsibilities

1. HR Documentation & Correspondence



Draft, process, and issue all HR-related documents such as offer letters, confirmation, transfers, promotions, resignations, increments, and disciplinary notices. Ensure all documents are accurate, compliant with company policies, and distributed promptly to staff and management.

2. HR Reporting & Data Management



Compile and maintain essential HR reports including manpower shortage, new joiners, resignations, promotions, and probation status updates. Provide timely and accurate HR data to support management decisions and manpower planning.

3. Recruitment & Onboarding



Support end-to-end recruitment activities, including posting job advertisements, screening resumes, coordinating and participating in interviews, and conducting reference checks. Prepare Letters of Appointment (LOA) and ensure smooth onboarding for new hires, including documentation and induction coordination.

4. HR Monitoring & Follow-Up



Track and monitor key HR timelines such as probation confirmations, promotion assessments, appraisals, and exit interviews. Follow up with employees and managers to ensure timely completion, approval, and proper filing of all HR records.

5. Administrative & HR Operations Support



Prepare and maintain the Annual Leave Schedule for HQ staff for management approval. Generate and submit the Attendance Report for review meetings. Coordinate and verify outstation claim reports prior to submission for approval. Update and maintain accurate employee records in the Info-Tech HR system to support payroll and reporting accuracy.

6. General & Ad-Hoc Support



Assist the HR Manager and Management with any ad-hoc assignments or urgent HR tasks. Willing to work beyond office hours when required to meet deadlines or complete time-sensitive matters.

Pay: RM2,300.00 - RM2,500.00 per month
