The HR & Admin Assistant is responsible for providing support in both human resources and administrative functions. This role assists in recruitment, employee records, payroll preparation, and staff engagement, while also ensuring smooth day-to-day office administration and facility management. The ideal candidate is detail-oriented, organized, and able to handle confidential information with professionalism.
Duties and responsibilities included but not limited to:
Human Resources (HR)
Assist in recruitment activities, including job postings, interview scheduling, and preparation of offer letters.
Support employee onboarding, offboarding, and staff welfare programs.
Assist in maintaining employee records, attendance, and leave management.
Prepare data to support payroll processing and claims.
Draft HR-related letters, memos, and documentation.
Ensure HR activities comply with company policies and procedures.
Administration & Facility Management
Provide day-to-day office administration support, including correspondence and filing.
Assist in coordinating staff meetings, training sessions, and company events.
Monitor and manage office supplies, pantry, and stationery.
Support facility management to ensure office cleanliness, safety, and maintenance.
Liaise with vendors, contractors, and service providers for utilities, repairs, and facility requirements.
Perform other HR and administrative duties as assigned from time to time.
Qualification and Skills:
SPM/Certificate or Diploma in Office Management, Human Resources, Business Administration, or a related field.
Experience in HR and/or administrative roles will be an added advantage.
Proficient in Microsoft Office applications, especially Word and Excel.
Strong organizational, multitasking, and communication skills.
Ability to maintain confidentiality and handle sensitive information with integrity.
Detail-oriented, reliable, and able to follow instructions effectively.
