Job Summary



The Executive - Industrial Relations is responsible for managing employee relations and ensuring compliance with labor laws and university policies. The role involves mediating disputes, handling grievances, implementing policies, and promoting a positive work environment. The Executive will support management in maintaining a harmonious workplace while fostering employee engagement, performance, and development.

Key Responsibilities



1. Policy Development & Compliance



Develop, implement, and communicate employee relations policies and procedures. Ensure compliance with labor laws, regulations, and university policies. Review and update policies regularly to reflect legislative changes and organizational needs. Update and maintain employee handbooks and policy manuals.

2. Conflict Management & Dispute Resolution



Mediate disputes between employees and between employees and management. Provide counselling and support to employees regarding workplace issues. Develop and implement effective conflict resolution strategies. Conduct investigations into employee complaints and allegations of misconduct. Take staff written statements and conduct preliminary investigations. Issue show cause letters or notices calling for domestic inquiry when necessary. Prepare documents and evidence for domestic inquiry proceedings. Conduct domestic inquiries with proper preparation. Recommend and implement appropriate disciplinary actions and issue related letters. Maintain accurate records of investigations, inquiries, and outcomes. Attend Jabatan Tenaga Kerja (JTK) and Jabatan Perhubungan Perusahaan (JPP) matters, including consultations, hearings, and meetings, as well as prepare all necessary documentation and evidence for submission.

3. Employee Engagement & Development



Conduct employee engagement surveys and analyze results. Develop and implement programs to improve employee morale and satisfaction. Organize employee recognition programs and events. Assist in the development and implementation of performance appraisal systems. Provide coaching and support to managers on performance management issues. Help create employee development and improvement plans.

4. Reporting & Analysis



Track and analyze metrics related to employee relations activities. Prepare regular reports for senior management on trends, issues, and effectiveness of employee relations programs. Brief and report issues/cases to the Board of Directors, both verbally and via email. Provide recommendations for improvements based on data analysis.

5. Collaboration & Communication



Act as a liaison between employees and management to resolve issues and improve workplace relations. Work closely with other HR team members to ensure a cohesive approach to employee relations. Establish and maintain open lines of communication to gather and address employee feedback. Assist in the onboarding process for new employees to ensure understanding of policies and culture.

6. Audits & Continuous Improvement



Conduct regular audits of HR practices and recommend improvements. Ensure all employee relations activities are conducted in accordance with university policies and legal requirements. Ensure all related documents are properly filed in staff personal files.

Qualifications:



Bachelor's degree in Human Resources, Business Administration, or related field. 3-5 years of experience in employee relations or a similar HR role. Knowledge of Employment Act 1955 Knowledge of Industrial Relations Act 1967 Excellent communication and interpersonal skills. Strong problem-solving and conflict resolution abilities. Ability to maintain confidentiality and handle sensitive information. Proficiency in HR software and Microsoft Office Suite.

Pay: RM2,500.00 per month
