Assist in managing end-to-end recruitment processes including job posting, CV screening, scheduling interviews, and preparing offer letters.
Coordinate with hiring managers to understand manpower requirements and recruitment timelines.
Maintain the recruitment tracker and ensure timely updates of candidate status.
B. Onboarding & Offboarding
Prepare onboarding documents, conduct orientation sessions, and ensure all new hire forms are completed.
Coordinate with relevant departments (IT/Admin/Finance) to ensure workstation, system access, and tools are ready.
Manage offboarding processes including clearance forms, exit interviews, and final documentation.
C. HR Operations & Administration
Maintain and update employee records, personal files, and HR database accurately.
Manage HR correspondences including confirmation letters, transfer letters, warning letters, and memorandums.
Assist in HR reporting such as headcount, turnover, and monthly HR metrics.
D. Employee Relations
Support day-to-day employee enquiries and provide guidance on HR policies and procedures.
Assist in organizing staff engagement activities, welfare programs, and company events.
Help monitor employee grievances and escalate matters when necessary.
E. Performance Management
Assist in coordinating the performance appraisal cycle, including system updates and documentation.
Ensure timely submission of appraisal forms and follow-up with department heads.
Support talent management initiatives and competency development plans.
F. Training & Development
Coordinate training schedules, nominations, attendance, and post-training evaluations.
Maintain training records and support in developing annual training plans.
G. Compliance & Policies
Ensure HR processes comply with Employment Act, company policies, and ISO standards.
Assist in internal and external audits related to HR.
Support continuous improvement of HR procedures and SOPs.
