The Human Resource Executive is responsible for supporting the company's HR operations, including employee administration, hostel and facility management, HR records, recruitment support, and compliance with statutory requirements. This role contributes to smooth HR operations, ensures proper record-keeping, and promotes a supportive workplace environment.
Key Responsibilities
1. Hostel & Facility Management
Conduct regular inspections of hostels to ensure cleanliness, safety, and proper living conditions, and prepare reports for Superior/Management review.
Arrange furniture, cooking utensils, and other necessities for employees.
Coordinate with contractors/vendors for hostel and office repairs, maintenance, pest control, and related services.
2. HR Administration & Compliance
Manage employee documentation including permit renewals, FOMEMA medical check-ups, IG, SPPA, SKPPA, check-out memos, and related matters.
Maintain an up-to-date database of all employees (passport details, permit expiry dates, arrival, and resignation records).
Coordinate with agencies for recruitment, arrival, and placement of new employees.
Assist in arranging medical treatment or welfare-related matters for employees when required.
Ensure HR documents are managed confidentially and in compliance with PDPA.
3. Employee Support & HR Services
Handle employee queries on HR-related matters in a timely and professional manner.
Maintain and update HR records, including personal details, attendance, leave (AL/MC/EL/CL), permits, and vaccination records.
Assist in providing payroll inputs (attendance, overtime, allowances) to Finance/HR Manager.
Support staff engagement and welfare activities such as festive events, training, and well-being initiatives.
4. Recruitment & Onboarding
Assist in recruitment processes, including screening CVs, scheduling interviews, and preparing interview documents.
Conduct orientation for new employees, ensuring they are familiar with the company handbook, policies, and procedures.
Assist in preparing training materials and maintaining training attendance records.
5. Disciplinary & Compliance Support
Support HR in daily monitoring of employee discipline, ensuring compliance with company policies and procedures.
Assist in preparing warning letters, memos, and documentation for disciplinary actions under guidance from Superior/Management.
Ensure proper filing and documentation for HR audits and inspections by relevant authorities.
6. HR Reporting & Documentation
Prepare periodic HR reports for management, covering manpower, attendance, leave records, and compliance matters.
Ensure accurate and organized filing (hardcopy & digital) of HR documents for compliance, with timely updating, safe record keeping, and easy retrieval.
Update and maintain HR systems/databases accurately.
7. Health & Safety Support
Assist with maintaining employee health records, safety briefings, or compliance with OSHA/JKKP requirements.
Help coordinate annual medical check-ups or vaccinations.
8. General & Continuous Improvement
Cover basic HR functions when colleagues are on leave.
Perform other duties and responsibilities as assigned by the HR Manager/Superior to ensure smooth HR operations.
Suggest improvements for HR processes (filing, onboarding, hostel inspections) for better efficiency
Job Type: Full-time
Pay: RM2,800.00 - RM4,500.00 per month
