Objectives of the Position

  • Seek to understand business needs and provide support to a range of HR processes and programs within Payroll, Compensation & Benefits and Labor Relations & Law.
  • Offer day-to-day support to service recipients on HR inquiries, work collaboratively with others and perform researches on market insights and legal legislations to provide resolutions.
  • Participate process improvements, automation, and digitalization measures to offer best service delivery experience

Main Areas of Responsibilities and Key Activities
Operational Excellence
  • Ensure data quality and data integrity for Payroll, Compensation & Benefits and Labor Relations & Law processes.
  • Receive, analyze, process and follow-up on personnel administration requests via multiple request channels, ensure accurate and timely interface to the respective internal/ external processing chains i.e. payroll, finance, data analytics, external service providers, local authorities etc.
  • Manage entire termination workflow for all termination types which includes leaves calculations, information checks, letters preparation, systems updates, payment calculations and exit clearance.
  • Responsible for time and attendance administrations, including manual calculations on time allowances/deductions, maintenance of work schedules, leaves, overtimes, and shift substitutions.
  • Support the delivery of compensation and benefits programs and administration i.e. employee subsidies, fleet management, long service awards etc.
  • Administer performance management activities, preparing performance metrics and managing performance review cycles. Support the salary review exercises on employee data preparation, letter generations and new salary processing.
  • Responsible for the local labor administrative activities and scheduled statutory HR reporting, ensure timely and compliant deliveries as per legislation requirements.
  • Responds to recurring or ad-hoc business needs to design and to deliver country specific or customized reports which could not be auto-generated by the analytics/reporting systems.
  • Work closely with other teams and external service providers to ensure all service requests are completed accurately and timely.

Service Engagement
  • Manage the hub inquiry line for the supported countries in providing advisory on employee enquiries, policy/guidelines clarifications, HR processes, HR systems guides, legislation processes etc.
  • Monitor multiples service requests to ensure services delivered by the team are in accordance with established Service Level Agreement (SLA) and internal Key Performance Indicators (KPI).
  • Perform researches and information gathering on local market HR news, legislation updates and guidelines to maintain internal knowledge database.
  • Analyze, clarify, and resolve operation issues and enquiries with close collaboration with relevant counterparts to ensure quality services are delivered from the hub. All unsolved and potential operational issues are escalated timely according to establish escalation process, with detailed analysis provided to manager.

Process Improvement and Project Initiatives
  • Continuously review and maintain knowledge documents in areas of expertise to develop the formation of competence hub.
  • Identify opportunities, prepare business cases, and participate in digitalization and process optimization. Support the implementation of process improvements, automation and digitalization measures which will be rolled out predominantly in the GB KL Hub for achieving the efficiency target.
  • Drive initiatives which contribute to the improvement of service experience
  • Identify deviations from the established blueprints of multiple system processors in Payroll, Compensation & Benefits and Labor Relations & Law processes and escalate to team leads in ensuring the capturing of business requirements, system settings, configuration needs and change trackers
  • Provide inputs and participate in user acceptance testing in system maintenance and upgrade, follow up and escalate timely with respective party to ensure fixes or changes can be delivered on time.

  • Works with moderate supervision within established procedures and practices.
  • Contribute positively to a knowledge sharing environment through generously sharing knowledge with others. Assist in orientation training and act as buddy to new team member.

Job Requirements
  • Relevant tertiary qualifications: Degree in Accounting, Mathematics, Commerce or Business Administration
  • With 1 - 2 years of related HR working experiences in Payroll, Compensation & Benefits and Labor Relations & Law.
  • Preferably experience in relevant HR procedures, practices, and country statutory
  • Preferably working knowledge of integrated payroll systems preferably on SAP.
  • Demonstrates a good level of proficiency in language and culture of the supported country/location
  • Preferably understanding of HR principals and/or Employee Laws of the supported country/location.
  • Strong processing skills and analytical abilities (inclination for Mathematics/Finance/Problem solving).
  • Service mindset with strong interpersonal and communications skills.
  • Functional knowledge and skills in using Microsoft application i.e. Words, Excel, Power Point.
