The Human Resources Shared Service Operations Specialist Workforce Admin (WFA) provides administrative support, resolves all employees\xe2\x80\x99 queries, provides HR information, and focus on compliant administrational/ transactional tasks and processes in the Workforce Admin HR functional area. All Key Tasks and Responsibilities are delivered on the Shared Service Center (SSC) scope level.

Duties and responsibilities


  • Operational Excellence:
  • Promotes efficient and effective delivery of specific process (e.g. contract administration, data administration) by solving complex inquiries that require specific HR knowledge and/ or higher degree of policy interpretation.
  • Provides timely, accurate and value-adding answers to all HR-related local or regional queries from employees and business managers.
  • Ensures contact with Strategic/ Regional Experts to develop and maintain a detailed knowledge of the designated processes and policies for the countries/ business stream/ globally covered.
  • Responsible for handling the WFA processes including but not limited to maintaining employee data and files according to country regulations, and preparation/creation of documents and templates.
  • Manages data related processes and reviews documentation regarding but not limited to transfers, off-boarding, change requests, job/work changes, leave of absence, end of assignments and terminations.
  • Performs ad-hoc reporting as needed.
  • Delivers country-specific/ business stream/ global specific training to front office.
  • Shares information with relevant colleagues (e.g. Front Office, Team lead).
  • Interprets policy and solves problems.
  • Supports training of new agents.
  • Follow established procedures and guidelines to perform in the area of responsibility accurately and timely.
  • Projects / Initiatives / Programs:
  • Supports HR projects within the SSC, for example, identifying past trends in the SSC in order to recommend improvement/ support in continuous improvement.
  • Proactively involved in cross-departmental teams and projects.
  • The job function listed is not exhaustive and shall include any responsibilities as assigned by the Supervisor from time to time.

Professional competencies


  • Bachelor\xe2\x80\x99s degree in Business Administration, Human Resource Management, or relevant field.
  • 2 to 4 years of relevant experience in Workforce Administration including legislation of discipline for country served e.g. China, Japan, India, Philippines, Vietnam, Malaysia.
  • Fluent English and one additional major regional language (Malay, Chinese, Japanese, Vietnamese, or Hindi) required.
  • Strong communication and customer service oriented with the ability to work under pressure with tough deadlines.
  • Strong process management skills with analytical and problem-solving capability for complex tasks.
  • Familiar with relevant regulations of the country served.
  • SSC experience highly desirable.
  • Experience with HR Cloud Systems highly desirable, preferably SAP SuccessFactors.
  • Advanced Microsoft Excel skills preferred.
