The Role Responsibilities
Job Summary Executive Assistant to the Global Control Room team. Strategy

  • Support the Global Head of Control Room on the training and development of team members in the region. Provide on the ground assistance to the KL Control Room team on dealing with Control Room matters a requested.
Business
  • Calendar, travel management and scheduling of meetings with stakeholders for the Control Room team.
  • Arrange meetings and conference calls, including booking of meeting rooms / facilities.
  • Provide administrative support for department events and matters including preparing and circulating the agenda, drafting minutes, organising team off-sites, townhalls and Big Calls.
  • Be part of team to support Department Business Continuity Plan, Call Tree Exercise and other arrangements.
  • Raise SRM for IT requirements, follow up and ensure closure of requests.
  • Raise requests for property requirements, follow up and ensure closure of requests.
  • Arrange and oversee office relocations / workstation arrangements.
  • Maintain critical documents and register of records as necessary.
  • Maintain an inventory list for all IT hardware and office equipment.
  • Prepare and submit travel and expense claims and trackers.
  • Raise Purchase Orders and e-Procurement for payment of invoices, attend to queries, and following up on payment status to ensure that invoices are paid timely.
  • Submission of accruals to facilitate financial reporting.
  • Undertake tasks for KL Control Room as requested.
Processes
  • Compilation of training courses, registration and tracking.
  • External training courses paid by SCB of claimable from SCB.
  • External training course paid by government of Malaysia ( i.e. Human Resource Deployment Fund sponsored by Government of Malaysia.
  • Track training records.
People and Talent
  • Support onboarding of new hires into the team (including as part of relocation) and exits including request / return of hardware, IT, office requirements.
Risk Management
  • Support the Control Room teams to achieve the outcomes set out in the Bank\xe2\x80\x99s Conduct Principles: Fair Outcomes for Clients; Effective Financial Markets; Financial Crime Compliance; The Right Environment.
Governance
  • Demonstrate strong awareness of and ensure adherence to the Bank\xe2\x80\x99s policies relating to travel and expenditure and finance policies.
Regulatory and Business Conduct
  • Display exemplary conduct and live by the Group\xe2\x80\x99s Values and Code of Conduct.
  • Take personal responsibility for embedding the highest standards of ethics, including regulatory and business conduct, across Standard Chartered Bank. This includes understanding and ensuring compliance with, in letter and spirit, all applicable laws, regulations, guidelines and the Group Code of Conduct.
  • Effectively and collaboratively identify, escalate, mitigate and resolve risk, conduct and compliance matters.

Our Ideal Candidate
  • Strong PC skills particularly with Outlook, Microsoft Word, Powerpoint, Excel, Acrobat Reader / Writer.
  • Proven secretarial / administration skills.
  • Experience in managing and controlling team expenses.
  • Good communication skills with strong command of English, both written and spoken.
  • Excellent organisational skills with ability to prioritise workload and manage conflicting priorities.
  • Reliable, discreet and diplomatic.
  • Responsive and able to pay meticulous attention to detail.
  • Strong team player who demonstrates good interpersonal skills.
  • Proactive and is a self-starter.
  • Able to multi-task and manage numerous deliverables effectively.
