Job Description

1. Job Summary



Responsible for managing end-to-end payroll processes, ensuring accurate salary payments, statutory compliance, and maintaining employee payroll records with high confidentiality and accuracy.

2. Key Responsibilities



A. Payroll Processing



Process and prepare monthly payroll accurately and on schedule. Calculate salary, overtime (OT), allowances, incentives, shift pay, and statutory deductions. Generate payslips, payroll summaries, and bank GIRO files for salary disbursement.

B. Statutory Contributions & Compliance



Calculate and submit EPF, SOCSO, EIS, PCB, and HRD levy. Ensure compliance with Malaysia Labour Law and related statutory bodies. Prepare annual reports such as EA Forms and tax-related documentation.

C. Attendance & Leave Verification



Verify attendance, lateness, overtime records, and leave applications. Work with managers/supervisors for attendance discrepancies.

D. Employee Data Management



Update HRIS/payroll system for new hires, promotions, transfers, and resignations. Calculate final salary for resigning employees including leave encashment or deductions.

E. Claims & Allowances



Review and verify staff claims based on company policies. Include approved claims in monthly payroll cycles.

F. Reporting & Documentation



Prepare monthly payroll reports for management and finance. Maintain accurate and confidential payroll records. Assist in internal/external audits.

G. Staff Support & Communication



Address employee inquiries related to salary, allowances, deductions, and leave. Support HR and Finance departments in payroll-related tasks.

3. Requirements



Diploma/Degree in HR, Accounting, Business Administration, or equivalent. 1-3 years of relevant experience (fresh graduates may be considered). Good understanding of EPF, SOCSO, EIS, PCB, HRD levy, and Malaysian Labour Law. Experience with payroll software is an added advantage. Strong attention to detail, accuracy, and confidentiality. Ability to work independently and meet deadlines. Good communication and interpersonal skills.
