Human Resources Executive

Job Description

The Human Resources Executive is responsible for managing end-to-end HR operations, including recruitment, onboarding, employee relations, performance management, training coordination, and maintaining accurate HR documentation. This role ensures smooth HR processes to support business operations and employee engagement across all departments.

Key Responsibilities



A. Recruitment & Staffing



Coordinate full recruitment cycle including job posting, sourcing, screening, interview arrangements, and candidate communication. Prepare employment documents such as offer letters, confirmation letters, transfer letters, extension letters, and termination notices. Maintain and update employee records, personal files, and departmental listings.

B. Onboarding, Confirmation & Offboarding



Manage new joiner documentation and induction flow. Track probation assessments, confirmation status, and evaluation forms. Ensure proper offboarding process: clearance forms, asset returns, exit documentation, and final record updates.

C. Employee Relations & Benefits



Handle employee queries, leave issues, Worksy updates, and internal communication. Manage staff benefits such as insurance, AIA updates, medical claims, HRDC allowances, and payroll submission documents. Support employee engagement activities including team building, events, celebrations, and welfare programs.

D. Training & Development



Organize and coordinate training programs (OSHA, Cybersecurity, HRDC, departmental training). Maintain training certificates, attendance, materials, and HRDC claim submissions. Track training needs and follow up with departments for development plans.

E. HR Compliance & Policy Management



Ensure HR processes comply with company policies and statutory requirements. Prepare documentation for LHDN, SOCSO, EPF, and other regulatory updates. Support audits, policy reviews, handbook updates, and documentation consistency.

F. Performance Management & KPI Coordination



Assist HODs in setting, reviewing, and consolidating KPIs. Manage appraisal schedules, performance documents, improvement plans and KPI matrices. Generate HR reports and maintain departmental organization charts.

G. HR Documentation & Administration



Prepare HR-related letters, memos, announcements, reports, and meeting minutes. Maintain confidential HR files, digital folders, and shared drive documentation. Support HR-related communication with internal teams and external agencies.

Requirements



Diploma/Degree in Human Resources, Business Administration, or related field. Minimum 1-3 years of HR experience preferred. Strong knowledge in HR practices, labor laws, and employee relations. Good communication, coordination, and multitasking skills. Proficient in Microsoft Office and HR systems (e.g., Worksy). Ability to maintain confidentiality and handle sensitive information.

Pay: RM3,000.00 - RM3,800.00 per month
