The Human Resource Executive is responsible for the full spectrum of HR operations, ensuring statutory compliance, accurate payroll execution, effective HR administration, employee services, training & development, immigration/ESD management, and documentation.
1. HR Operations & Administration
Manage full HR administrative functions including personnel files, records, and HR2eazy HRIS updates.
Ensure HR activities comply with statutory regulations, company policies, ISO requirements, and ethical standards.
Handle end-to-end employee movements: onboarding, transfers, promotions, confirmations, resignations, and terminations.
Maintain HR documentation, SOPs, forms, and process updates.
2. Payroll Administration (HR2eazy)
Prepare and process monthly payroll accurately using HR2eazy.
Ensure allowances, OT, claims, deductions, absenteeism, and leave adjustments are correctly captured.
Process statutory contributions (EPF, SOCSO, EIS, PCB) and upload to relevant government portals on time.
Maintain confidentiality and resolve payroll-related issues.
3. Employee Benefits & Leave Management
Maintain attendance and leave records, medical claims, and absentee reports.
Track discrepancies and provide timely updates to the Manager.
Administer employee benefits with proper documentation.
4. Recruitment & Staffing Support
Handle staffing requisitions including screening, shortlisting, coordinating interviews.
Prepare offer letters, employment contracts, confirmation letters, increment letters, bonus letters, and related HR correspondence.
Prepare and submit ESD applications for expatriates: new applications, renewals, company updates, and quota handling.
Manage immigration documentation in relevant portals, ensuring timely follow-ups for approvals.
6. HRDF Administration
Manage HRDF submissions, registrations, and training claim processing.
Maintain accurate documentation in line with HRD Corp requirements.
7. Training & Development
Coordinate internal and external training programs based on company needs and HRDF requirements.
Maintain annual training plans, matrices, and complete training records.
Assist in identifying competency gaps and training needs.
Liaise with training providers and prepare evaluation documents.
8. Confidentiality & Professional Conduct
Uphold strict confidentiality in managing employee data, payroll information, and expatriate records.
Required Education and Experience
Diploma or Degree in HR Management, Business Administration, or related field.
Minimum 2-3 years HR Generalist experience.
Experience using HR2eazy payroll system is required.
Required Skills
Strong analytical skills and attention to detail.
High integrity and professionalism.
Good communication and interpersonal skills.
Ability to work under pressure and meet deadlines.
Proficient in Microsoft Office and HR systems.
Able to work independently with a proactive approach.
Fluent in Bahasa Malaysia and English.
