Manage end-to-end import and export operations including order processing, shipping, and delivery.
Verify accuracy of shipping documents, including bills of lading, invoices, certificates of origin, and packing lists.
Ensure timely clearance of goods by coordinating with relevant government authorities.
2. Customs & Trade Compliance
Ensure strict compliance with domestic and international trade regulations.
Handle applications for import/export permits, licenses, and certificates (e.g., SIRIM, MITI, FTA).
Classify goods correctly using HS codes and ensure correct duty/tax applications.
Maintain good working relationships with customs officers, freight forwarders, and port authorities.
3. Freight & Logistics Management
Compare freight rates and recommend optimal shipping options (air, sea, road).
Negotiate with carriers and logistics service providers for best rates and services.
Monitor third-party logistics performance (freight forwarders, transporters, etc.).
Ensure timely pickup, dispatch, and delivery of shipments, minimizing delays.
4. Inventory & Warehouse Coordination
Coordinate incoming shipments with warehouse team to manage inbound goods and storage.
Track and reconcile stock based on import/export data.
Report on any damage or discrepancies related to inbound/outbound shipments.
5. Communication & Coordination
Act as the main point of contact for suppliers, logistics providers, customs brokers, and internal departments.
Provide regular updates to sales, procurement, and production teams on shipping schedules.
Address and resolve any import/export issues such as delays, demurrage, or incorrect documentation.
6. Risk Management & Process Improvement
Identify risks in import/export processes and suggest preventive actions.
Implement improvements to streamline operations, reduce cost, and improve delivery time.
Monitor geopolitical changes, trade tariffs, and global supply chain risks.
7. Documentation & Reporting
Maintain and archive all shipping and trade documents in compliance with company policy and legal requirements.
Generate weekly/monthly reports on import/export status, shipment costs, and performance KPIs.
Prepare documents for internal and external audits.
Requirements:
Diploma/Degree in Logistics, International Business, Supply Chain Management, or related field.
2-5 years of experience in import/export operations or logistics.
Knowledge of Incoterms, HS codes, customs procedures, and shipping documentation.
Good communication and negotiation skills.
Proficient in Microsoft Office and logistics software.
Ability to work under pressure and meet deadlines.
