Diploma or Degree in Human Resource Management, Business Administration, or related field.
Minimum 2 years of relevant experience as HR generalist with Training Administration and Employee Relations experience.
Strong communication and coordination skills.
Proficient in MS Office (Excel, Word, PowerPoint) and HR systems.
Able to communicate effectively in Bahasa Malaysia and English.
Key Responsibilities:
A. Training Administration
Plan, schedule, and track all internal and external training (technical, soft skills, and compliance-related).
Maintain comprehensive training records, attendance logs, certificates, and training reports.
Conduct onboarding briefings for new hires and assist in translation where necessary.
Support and coordinate on-the-job training programs for staff.
B. Disciplinary & Legal Compliance
Attend to employee disciplinary issues and escalate to management as necessary.
Draft disciplinary letters in line with company procedures and employment regulations.
Support plant-level legal compliance requirements.
C. Contract & Legal Administration
Monitor and manage contract renewals, service schedules, and payment processes.
Oversee utilities management (e.g., water, electricity) and coordinate with service vendors (e.g., pest control, air conditioning).
D. Petty Cash Management
Assist in the issuance and disbursement of petty cash.
Maintain accurate petty cash tracking, filing, and reporting records.
Supporting Responsibilities:
E. Employee Engagement & Events
Assist in organizing company events including festive celebrations, birthdays, and staff activities.
Manage event logistics, decoration, and vendor coordination.
F. Foreign Worker Administration
Assist in foreign worker document renewals (passport, permit, FOMEMA, SOCSO).
Support dormitory and canteen administrative coordination.
G. HR Administration
Handle staff facility-related complaints and escalate to relevant departments.
Handle general insurance application, submitting claim, follow-up and etc etc..
Prepare monthly HR-related reports (e.g., HRA, insurance, PERKESO).
Issue Purchase Requests (PR) and Change Requests (CR), liaising with Procurement.
H. Recruitment & Employee Lifecycle
Assist in coordinating recruitment and interview arrangements.
Support onboarding and offboarding documentation processes (ERCF, EIF).
I. Compliance & Claims
Assist in SOCSO and insurance claim documentation and follow-ups.
Update and maintain records of employee movements (hires/resignations).
J. General Administration
Distribute stationery and pantry supplies.
Assist with staff logistics including accommodation and transport for expatriates.
