Job Description

Job Responsibilities



1. Organize and manage departmental affairs, including monthly sales meetings, preparing minutes of meetings, and cascading relevant information to team members.

2. Prepare weekly reports for debtors, stock inventory, and other related matters. Assist in preparing sales reports for Sales Review, Sales Budget, and other analyses as required.

3. Handle dept day-to-day administrative tasks, such as issuing Purchase Requisition, PI, Indent Order, Quotation & others.

4. Assist the sales team in the daily operations e.g.: follow up with customers on collection, highlight inventory level & handle "to-do task/deadline" for the department.

5. Support the sales team in arranging business meetings, travel arrangements, and appointments with clients.

6. Maintain proper filing and documentation of sales records, agreements, and other confidential materials.

7. Actively participate in charitable activities (e.g., Yayasan projects) and other corporate social responsibility initiatives.

8. Provide general secretarial and administrative support to the COO and Head of Department as required.

Job Requirement



Minimum Diploma, Advanced/Higher/Graduate Diploma in Business Management, Marketing, or equivalent. Proficient in SAP software and capable of preparing reports using Microsoft Excel, Word, and PowerPoint. Minimum 2-3 years of relevant working experience in a sales coordination or secretarial role. Good command of spoken and written English. Knowledge of the Chinese language will be an added advantage. Strong attention to detail and good time management skills. Strong organizational and multitasking skills with the ability to meet deadlines.
