Job Description

1. Site & Worker Welfare Administration



Monitor and manage workers' welfare needs, including water, electricity, hostel conditions, and other basic facilities at project sites. Track and inspect site materials, ensuring sufficient stock levels and prompt reporting of shortages. Support site operations by tracking attendance, coordinating staff, and assisting in the preparation of daily and weekly progress and manpower reports. Monitor and coordinate activities related to foreign workers' hostels, including permit and license applications, as well as inspections by government authorities.

2. Travel & Accommodation



Monitor and coordinate travel and accommodation arrangements for staff, ensuring seamless bookings and adherence to company travel policies.

3. Office & Facility Management



Maintain office equipment, furniture, fittings, and IT infrastructure to ensure proper functionality, upkeep, and timely maintenance or renewal. Supervise housekeeping activities and ensure the cleanliness and aesthetic upkeep of company premises, including landscaping.

4. IT & Equipment Support



Set up and maintain office IT equipment such as laptops, printers, Wi-Fi, and other peripherals. Liaise with third-party vendors for software installations, server setup, and IT troubleshooting. Maintain an up-to-date IT asset inventory, including hardware status, software licenses, and renewal timelines. Provide IT support by troubleshooting hardware and software issues, monitoring network infrastructure, ensuring data security, and assisting in the implementation of IT solutions to improve efficiency.

5. Documentation & Administrative Support



Handle documentation such as travel forms, purchase requests (PR), insurance renewals, tenancy agreements, and PUSPAKOM scheduling. Manage front-desk operations including visitor reception, courier services, and general office upkeep. Coordinate accommodation arrangements for staff or project-related requirements. Monitor and ensure timely renewal of company licenses, including vehicle licenses, business registrations, CIDB, and other regulatory requirements.

6. Ad-Hoc Tasks



Provide support during audits, external inspections, or internal management visits. Assist in any additional administrative or operational tasks as assigned by management.
