Job Description


  • Update Closed Maintenance Job Order Card (JOC) daily in the system and prepare monthly summary. Make a proper JOC filing for easy traceability.
  • Communicate with vendors/contractors to request quotations, specifications and make comparisons. Explore new sourcing with the Maintenance Engineer and Maintenance Manager if necessary.
  • Coordinate with vendors/contractors and Supervisors on the lead time and the criticalness of purchased parts/services.
  • Raise and issue Purchase Requisition/Purchase Order after obtaining the approval from Maintenance Manager and/or Plant Manager in the system. Close & submit GRN and coordinate with relevant Dept including Finance.
  • Update spare parts inventory in the system and raise purchase requisition when it reaches the minimum stock level. Coordinate with Supervisor on the inventory and re-stock. Prepare monthly inventory report and conduct physical audit/stock count with Maintenance Supervisors/Engineer.
  • Follow-up with suppliers on the delivery of machine parts and coordinate with relevant department on new machine arrivals e.g., Logistic.
  • Make a list and proper documentation keeping of all contractors Service Report, Legal Inspection, audit, drawing etc., soft and hard copy. Coordinate with Maintenance Supervisors and Engineer.
  • Update Maintenance Dept attendance in the system and communicate with HR.
  • Managing maintenance stationery and issuance.
  • Provide administrative support to the team.
  • To comply with applicable legal requirements and to observe the commitments made in defense of health, safety and the environment.
  • Other ad hoc duties given my Maintenance Manager from time to time.
