The Management Assistant will support the Manager in managing daily operational, administrative, staff coordination, tender, and claim-related matters across all business divisions. This role requires a highly organised, reliable, and proactive individual who can assist management in ensuring smooth company operations.
KEY RESPONSIBILITIES
1. Management & Operations Support
Assist the General Manager in daily operational and management tasks
Coordinate between departments (HR, Admin, Marketing, Site Teams)
Follow up on tasks assigned by management and ensure timely completion
Prepare internal reports, summaries, and management documentation
2. Staff & HR Coordination
Assist in staff coordination, attendance tracking, and manpower planning
Liaise with HR on recruitment, onboarding, and staff documentation
Monitor staff movement and assist in resolving basic staff issues
3. Tender, Claim & Documentation Support
Assist in preparation and coordination of tenders, quotations, and submissions
Support monthly claim preparation and documentation tracking
Ensure all supporting documents are properly organised and updated
Liaise with admin and finance teams on tender and claim-related matters
4. Administrative & Reporting Duties
Manage schedules, meetings, and follow-ups for the General Manager
Maintain proper filing systems for management and project records
Handle confidential documents with professionalism and discretion
REQUIREMENTS
Diploma or Degree in Business Administration, Management, or related field
Minimum 1-2 years experience in administration, operations, or coordination
Role
Strong organisational and multitasking skills
Good communication skills (English & Bahasa Malaysia preferred)
Proficient in Microsoft Office (Word, Excel, Email)
Able to work independently with minimal supervision
Trustworthy, disciplined, and detail-oriented
