Position: Manager Corporate Secretarial



Our client is a group of companies offering services of corporate secretarial, accounting, work pass application and immigration application services. A trusted Singapore brand with global clients, looking to expand their Malaysia operations with founding team members in the corporate secretarial and finance department.



You will lead our team of corporate secretarial services professionals, including our corporate secretarial, client services, and compliance colleagues, ensuring that the team functions efficiently and effectively, meeting their KPIs consistently, as they perform their various duties, including, without limitation:

Responsibilities:

  • Assistant to Senior Manager where you will assist in leading our team of corporate secretarial services professionals, including our corporate secretarial, client services and compliance colleagues, ensuring that the team functions efficiently and effectively, meeting their KPIs consistently, as they perform their various duties, including without limitation:-
  • Liaise with and advise clients on annual statutory obligations, statutory requirements of ad hoc client requests such as changes to corporate structures etc.
  • Managing filing deadlines, preparation of Board minutes, notices and resolutions, SSM filings and corporate tax filings.
  • Timely collections of recurring/regular and ad hoc billings.
  • Professionally manage client relations.
  • Perform Customer Due Diligence checks, following established company procedure.
  • Perform ad-hoc secretarial assignments (eg. drafting various resolutions).
  • Onboarding and ongoing compliance, and STRO reporting.
  • Accurate, complete and timely usage and updating of our internal CRM systems
  • Responsible for direct and team portfolio companies
  • Active hands-on managing, supervising, correcting and training/guiding our team of corporate services professionals, and their daily output and ensuring that they adhere to our firm\'s standards, stepping in directly wherever required to ensure a timely, proper, professional outcome, leading by example.
  • Assisting the Senior Manager to ensure that our team of corporate services professionals consistently meet service standards and deadlines, meeting clients\' expectations including guiding our junior staff.
  • Ensuring continued and proper monitoring of corporate services functions & CRM system.
  • Management and responsibility for the proper and accurate operation and use by the corporate services professional team, of our firm\'s CRM system.
  • Managing, checking and timely/proper closing of all work orders/jobs by our corporate services and compliance team members.
  • Ensuring proper workflow management and matter management within our team of corporate services professionals & workflow interactions with other departments.
  • Management of our panel of professional nominees (e.g. nominee directors/secretaries).
  • Liaise with statutory bodies, banks, and other third-party business partners, as required.

Requirements:
  • Possess ICSA or Corporate Secretarial qualification equivalent
  • Experience in professional firms providing corporate secretarial services
  • Familiar with SSM filing requirements
  • Excellent organizing & coordinating skills
  • Excellent client handling skills
  • Good command of spoken & written English & Mandarin
  • Excellent attention to detail
  • At least 5 years of relevant experience and holding team leading experience.
