Our opportunity for you:

We have an exciting opportunity for an experienced professional to join the Vistra Corporate Services (Malaysia) Sdn. Bhd. team on a full-time basis.

Purpose of the role:

The position is to lead the Investor Services team within Global Service Centre (GSC) Malaysia, who is supporting various regulated markets where the regulatory environments are constantly evolving and challenging.

This role reports to the Associate Director of GSC, Malaysia. He/she directly manages the Investor Services Team and is responsible to provide direction, leadership, and motivation to ensure that the team consistently achieves its operational performance and goals.

Scope:

The position manages a team of people in the Investor Services team, supporting the onboarding of investors and other investor related services for our fund clients in accordance to procedures and regulatory requirements. As part of the investor lifecycle, the team will also be responsible to conduct periodic reviews of investors, and this includes daily screening of investors (and their related parties) data against Anti-Money Laundering (AML), Counter-Terrorist Financing (CTF), and any other compliance/regulatory requirements.

The position is also responsible to ensure that process documentations are regularly updated according to the local policies and any other compliance and regulatory requirements.

Key responsibilities:

Service Delivery * Onboarding: Overseeing all investor onboarding, ensuring that they are done in a manner that is in compliance with requirements and are delivered timely with zero or minimal error.
  • Periodic Review: Overseeing the process of reviewing investors, their documents, data, and other information on a periodic basis is done according to the requirements.
  • Daily Screening Hits: Ensure that the daily hits are cleared on timely basis and accurately.
  • Data maintenance: Ensure that investors data maintenance is done in accordance to the guidelines and standards set and are done timely and accurately.
  • Other Investor Related Matters - Overseeing other aspects of investor services matters related to fund launch, capital call, distribution, tax returns, audit purposes, etc.
  • Reporting: Responsible on MIS reporting towards management.
SLA Management * Undertakes detailed planning to ensure that operational capacity matches demand.
  • Handle work allocation to ensure deliveries are met.
  • Monitors SLA delivery to ensure that all agreed service levels are met or exceeded.
  • Flags anticipated SLA issues in a timely manner to the Head of Clients & Investor Operations, Head of GSC, and Stakeholders in Donor Country so that a resolution can be agreed.
  • Prepare monthly governance reports on the team\'s service deliveries (productivity and quality) for the markets that the team is supporting.
People/Team Management * Manages/supervises team members handling the onboarding of Investors and Borrowers and other Investor related matters within the Investor Services Team.
  • Provide guidance on all investor services related matters.
  • Ensure the overall targets of the team are in accordance with KPI\'s.
  • All team members are being guided, trained, and coached in their professional development.
  • Team members have an OKR in place which is being discussed periodically, minimum twice per year.
  • Recruitment, work issues management, performance appraisal are managed in cooperation with the HR team.
  • Values & behaviour aspirations are embraced. Leads by example, is able to manage change and to engage, takes ownership.
  • Arrange for the set up and grant access to new hires/new users.
Relationship/Interaction Management * Manage communication with Donor Country Stakeholders and Senior Management to ensure all operational, administrative and compliance function are duly executed in accordance to established policies and procedures.
  • Address queries and escalations and provide solutions that are effective and efficient.
  • Manage the coordination and liaison with the relevant parties on matters related to investor onboarding in preparation of fund launch, capital call and distribution.
  • Works closely with Project colleagues / teams on any process improvements and project related discussions.
Operational Responsibility * Overall operational responsibility for client servicing, administration, risk management, quality, and accuracy of deliveries.
  • Client servicing in the Team is done in accordance with the highest possible standards.
  • Maintains detailed knowledge of the Standard Operational Procedures (SOP) and regularly review and update to ensure that they continue to remain relevant and consistently applied.
  • Ensures operational efficiency and effectiveness by improving overall processes through automation, continuous process improvement, reinforced controls, etc.
  • Actively review operational performance, identify trends, and assess opportunities for improvement and adoption of best practices.
  • Escalate potential reportable event/breach to Head of Client & Investor Operation.
Attributes & Skills:
  • Strong verbal and written communication skills.
  • Sound analytical and research skills with meticulous attention to detail
  • Excellent time management, good organisation skills and multi-tasking skills
  • Ability to work independently with minimal supervision, and to excel under pressure for meeting any tight deadlines
  • Traditional Chinese and Simplified Chinese language skill is an added advantage.
Relevant experience:
  • Possess 5 years of Know Your Client (KYC), Customer Due Diligence or Name Screening experience in a financial institution or equivalent function.
  • Experience in people management and operations is required.
  • AML experience and good understanding of compliance and MAS regulatory requirements in Singapore is an added advantage
Education/Professional Qualifications:

Diploma or University graduate with Bachelor of Law / Accounting / Business / Economics / Finance and related academic qualifications
