The Admin-Export Executive is responsible for managing export documentation, coordinating shipment arrangements, and supporting daily administrative operations. This role requires strong attention to detail, basic Chinese language proficiency, and the ability to handle paperwork and recording tasks.
Key Responsibilities
1. Export Documentation & Compliance
-Prepare and verify export documents (invoice, packing list, etc.).
-Ensure all documents comply with international trade requirements and regulations.
-Coordinate with freight forwarders, customs agents, and relevant authorities for document processing and approval.
-Maintain accurate filing of export documents for audit and internal control.
2. Shipment Coordination
-Maintain accurate filing of export documents for audit and internal control.
-Coordinate shipping schedules with production, warehouse, and logistics teams.
-Arrange shipment bookings with appointed freight forwarders (sea/air).
-Track and monitor shipment status until completed.
-Handle documentation issues or shipment delays promptly.
3. Administrative & Support Duties
-Perform general administrative work including filing, data entry, paperwork preparation, and recordkeeping.
-Assist in preparing internal reports, quotations, and export-related summaries.
-Carry out any other ad hoc tasks assigned by the supervisor.
4. Internal Communication Only
-Communicate with internal departments (e.g., warehouse, production, finance).
-No customer meetings are required for this position.
-Basic communication with customers through email may be required for documentation purposes only.
Knowledge and Skill Requirements:
-Diploma/Degree in Business Administration, Logistics, Supply Chain, or related field.
-Basic Chinese language skills (MANDATORY): able to read and speak Chinese.
-Proficient in Microsoft Office (Excel, Word, etc).
-Detail-oriented and strongly organized in handling paperwork and documentation.
-Good communication skills in English, Bahasa Malaysia, and Chinese.
-Able to work in a fast-paced environment and manage multiple tasks.
