The Marketing Assistant is responsible for supporting the end-to-end order handling process and assisting the marketing/sales team in ensuring smooth customer transactions from quotation to shipment. This role requires strong coordination skills and attention to detail in handling sales documentation and inter-departmental communication.
Key Responsibilities:
1. Quotation Preparation
- Prepare and issue quotations to customers based on pricing guidelines and sales team instructions.
2. Customer Purchase Order Handling
- Receive and verify customer purchase orders (POs).
- Ensure accuracy and alignment with issued quotations.
3. Sales Order (SO) Management
- Create and update Sales Orders (SO) in the system.
- Maintain the SO Master List for tracking and reporting purposes.
- Convert approved customer POs into SOs accurately.
4. Internal Coordination
- Distribute SOs to relevant departments such as Production, Purchasing, and Shipping.
- Follow up with departments to ensure SO timelines and requirements are met.
5. Progress Monitoring
- Track the status of SOs from order confirmation to shipment.
- Update internal records and notify relevant teams of changes or delays.
6. Customer Support
- Liaise with customers on order status, delivery schedules, and documentation when required.
Requirements:
- Minimum Diploma in Marketing, Business Administration, or related field.
- 1-2 years of experience in sales or administrative support is an advantage.
- Proficient in MS Office and basic ERP/sales order systems.
- Good communication and coordination skills.
- Detail-oriented and able to manage multiple tasks effectively.
