Were growing rapidly and as a result were looking for an Office Administrator/ Front Of House to join our studio in Mid Valley City, Kuala Lumpur (strategically placed at the heart of Kuala Lumpur). As an Office Administrator / Front Of House at Double Eleven, youll have a passion for people and great administration, enjoy a challenge and be excited to work in a highly fast paced environment where no one day is the same. Strictly no agencies (sorry guys!) and were unable to sponsor a visa for this role. We can support MY relocation and have a dedicated People team on standby to assist you and your family with every step to us.

WHAT YOULL BE DOING

  • Manage, monitor and ensure front of house (reception) , entrances of the studio area & whole studio are clean, tidy and projects a business-like image
  • Handle mails & deliveries and incoming calls, determine purpose of calls and forward calls to appropriate personnel
  • Welcome, greet and register visitors, vendors, candidates and inform appropriate personnel
  • Engage with the KL Studio employees to ensure smooth office operation. Provide ad hoc support around studio as needed
  • Responsible for managing and supervising the maintenance of the operation offices fittings and equipment, systems and facilities. I.e. routine service for pest control, potted plant, water filter/ coffee machine
  • Be the central point of contact internally and externally as you will be working closely with multiple teams, building rapport with building management, vendors & contractors.
  • Responsible for office accounts which include purchasing office supplies, payment/invoice, cross check invoices received with related documents.
  • Assist to provide office & pantry supplies for staff and maintain adequate stocks; task includes ordering new supplies, identifying new suppliers
  • Assist in booking conference/meeting rooms, organise all aspects for meetings and arrange catering when necessary
  • Manage studios visitors transportation & hotel arrangement.
  • On site preparation for new hires i.e. ensure stock such as lanyard, access cards, car parking & etc for new hires are sufficient & other local onboarding activity
  • Organise, execute, events and projects to include studio activities, operation planning, celebrations, parties, CPR/fire evacuation training & etc
  • Other general admin duties such as handling refreshments. Provide other clerical and administrative support as required by manager/supervisor
