position. We are a boutique accounting firm seeking a detail-oriented and proactive
Office Administrator
to support daily operations. The role involves managing client correspondence, maintaining practice management systems, and ensuring smooth administrative workflows.
This position requires strong bilingual communication skills in
English and Mandarin
, organizational ability, and proficiency with essential office and cloud-based tools. Prior experience in a professional services environment (accounting, legal, or consulting) is highly valued, with emphasis on candidates who have worked with accounting firms.
Key Responsibilities
Document Management
File and organize client records in electronic formats.
Maintain documentation systems for accurate and secure retrieval.
Engagement Letter Support
Draft, format, and issue engagement letters to clients.
Practice Management System Maintenance
Maintain and update client information, jobs, and tasks in
Xero Practice Manager (XPM)
.
Corporate Secretarial Support
Maintain and update company records in
CAS360
, including registers and compliance deadlines.
Send automated compliance reminders and notices to clients.
Cloud Storage Management
Manage client and internal documents on
Dropbox
.
Client Communication
Send reminders, notices, and follow-up emails to clients.
General Administrative Support
Assist partners and accountants with administrative tasks as required.
Qualifications & Skills
Bilingual fluency in English and Mandarin
(spoken and written) (Compulsory).
Experience as an
office administrator/secretary
within a professional services environment (accounting, legal, consulting) strongly emphasized (Compulsory).
Prior
experience working with accounting firms
(Compulsory).
Proficiency with
MS Office
and
Dropbox
; familiarity with
Xero Practice Manager (XPM)
(Compulsory).
Exceptional
attention to detail
and strong
organizational skills

Strong
