Office Manager (mandarin Speaker)

Job Description

As the Office Manager, you will be the first hire in Malaysia assigning the Regional CEO to set up their Office in Malaysia. You will oversee the establishment of their regional office and support on other administrative matters.

  • Provide administrative and general support to regional/country management;
  • Plan, organise, and facilitate local, regional meetings and events for Group's senior managements;
  • Provide support to both HQ and regional hub's non-local presented departments, like GA, Finance, Legal, HR, PR, IT, Procurement etc. to represent and handle their delegated works with proper authorisation, following relevant policies and coordinate relevant matters as and when required. Report to relevant function lead on non-local presented department matters;
  • Act on behalf of Business Contingency Plan (BCP) team to deal with local emergency services;
  • Collaboratively work with corporate functional teams of General Administration department (Corporate Real Estate, Facilities Operation Management, Global Travel, and Security) to deliver local services in line with corporate guidelines and in compliance with local laws and practices;
  • Assist to manage office set up (office leasing and office renovation), handle office facilities services, security & fire safety, hotels & travel, and service vendor performance to make sure office daily operation runs efficiently;
  • Prepare annual office budgets, monitor and control office expenses to ensure all actual expenses are complied with the Group's policy;
  • Review and implement Company policies and procedures in respective local jurisdiction, and modify it as and when required;
  • Develop and maintain relationship with local and Chinese government organizations and institutions, companies and representative offices;
  • Providing supports to relevant team in promoting Company Brand locally;
  • Other tasks and projects to be assign by the Company and management.

  • Bachelor degree or above in relevant majors
  • Minimum of 8 years of relevant working experience in the local jurisdiction
  • Bilingual in local native language and English; Mandarin will be a preferred plus
  • Competent Computer/Office Application user (Word, Excel, PowerPoint etc.)
  • Excellent interpersonal skill and stakeholder management skills with strong work ethics
  • Ability to multi-task, work efficiently under pressure and time constraint
  • Good communications skill (written and verbal) and negotiating skill
  • Familiar with financial industry and investment bank working style is a plus
