Office Manager-J.Raja Chulan,KL

Description

Plan, manage and execute all aspects of office management functions and provide support to the Directors and their Subsidiary Companies to ensure smooth operations. Responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision, and task delegation. To ensure the staff focuses on what they do best---playing their part to achieve set goals.

Responsibilities

  • Oversees general office operations
  • Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office
  • Provide company secretarial and administrative support
  • Supervision of office staff functions are properly assigned and monitored
  • Liaise and follow up on administrative activities with internal and external parties
  • Organize and schedule meetings, appointments and manage staff calendars
  • Manages filing systems and office supplies, maintains IT infrastructure, and keeps inventory in order
  • Manage proper upkeep and maintenance of properties, company cars, office equipment and renewal of permits/licenses/insurance coverage
  • Works with Finance Head to update policies and procedures, assist in recruitment, onboarding new hires and offboarding
  • Manage relationships with vendors and service providers
  • Manage visitors, correspondences, incoming mails, travel arrangements and answers phone calls
  • Plans all in-house or off-site activities for the organization
  • Maintain a safe, secure, and pleasant work environment.
Qualifications
  • Bachelor\'s degree in business administration, or a related field
  • Preferably 3-5 years of work experience in handling wide range of administrative duties and executive support-related tasks
  • Good computer skills; proficiency in Microsoft Office (MS Word, Excel, PowerPoint, and Outlook)
  • Pro-active, enthusiastic, and self-driven with high level of integrity
  • Excellent time management skills and ability to multitask and prioritize work
  • Good team player with excellent communication and interpersonal skills.
  • Immediate availability is highly preferred
