Handle general administration functions to ensure the daily operations are effectively run and are in compliance with the relevant policies.
Job Responsibilities
Responsible to arrange both internal and external events on venue booking, refreshment, breakfast, lunch or dinner ordering and etc.
Monitor the reception area, handle incoming calls, assist with customer visits, and warmly welcome all visitors.
General office management such as ordering stationary, refreshment and distribution.
Responsible to update all purchase request from HR Department into SAP systems.
Upkeep and maintain office equipment, such as photocopy machine, water dispenser, water services to minimize hiccups of operations.
Supervise cleaner on all the cleaning duties.
Monitor and maintain office tidiness and cleanliness, including meeting rooms, washrooms and public areas in or outside the office.
Coordinate and oversee regular pest control services to maintain a clean and safe work environment.
Update and maintain medical claim records, submit Monthly Medical Claim Report to account department for employee's medical claim arrangement.
Arrange special fund for such Death of Employees, Death of Immediate Family, Employee New Born Baby and Employee Hospitalization.
Coordinate and manage employee parking allocations within the factory premises, including issuing and tracking parking master list, and stickers as required.
Responsible for preparing, issuing, and maintaining records of ID cards and access cards for newly joined employees.
Monitor and maintain stock level of Uniforms and Personal Protection Equipment (PPE) to ensure sufficient quantity in stock at all time.
Responsible for purchasing employee uniforms and PPE, ensuring timely availability
Maintain lockers, keep records of locker assignments, and distribute locker keys to employees.
Coordinate with canteen vendors or staff to ensure timely food service while monitoring hygiene and compliance with health and safety regulation.
Conduct regular inspections and audits using checklists to ensure compliance with company standards.
Job Requirements
Candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree, Post Graduate Diploma, Professional Degree, any field.
Required language(s): Bahasa Malaysia, English.
At least 2 year(s) of working experience in the related field is required for this position.
Preferably Junior Executives specializing in Human Resources or equivalent.
