Job Description

We're looking for a

highly organized, team-oriented, and proactive Operations Admin Assistant

to support our fast-paced logistics and operations team. If you excel under pressure, communicate effectively, and have the potential to grow into a leadership role, we'd love to hear from you.

Job Responsibilities



Handle and monitor incoming inventory and job orders, such as shipment orders, request for deliveries (RFD), and lifting operations. Coordinate with the warehousing and operations teams to fulfill client orders. Arrange and schedule delivery of goods with the operations team. Perform regular inventory checks and assist with warehouse audits. Tally vendor invoices and delivery notes (DN) against completed jobs. Perform accurate data entry of job details, such as truck arrangement, delivery schedules, job completion status) into logistics system for internal tracking, billing, and reporting. Prepare summary reports and support data for analysis and reviews. Report directly to Assistant Managers and the Operation Managers. Liaise with the billing department regarding job details and invoicing. Occasionally dealing with Ad-hoc administrative tasks requested by Superiors.

Key Skills & Requirements



Minimum Diploma qualification in a relevant field. Relevant work experience in logistics, administration, or operations is preferred. Computer savvy and experienced in using logistics or ERP software. Strong communication skills; able to work closely with different departments and external partners. Friendly and approachable personality. High attention to detail and precision in task execution. Excellent time management and ability to prioritize tasks. Disciplined, independent, and reliable with minimal supervision. Strong problem-solving skills and a proactive mindset. Strong sense of urgency and the ability to meet tight deadlines. Team player with excellent collaboration skills. Quick learner with the potential to grow into leadership roles.
