Operation Admin & Billing Clerk

Job Description


Daily routines included and not limited to:

  • Getting truck collections and deliveries orders from clients, communicating with truck drivers;
  • Planning trucks availabilities to fetch orders, confirming clients orders, checking trucks GPS and drivers locations;
  • Updating clients with ETA (estimated time of arrival) for both collection point and delivery point, update clients with revised ETA and log incident report to solve operational hiccups if any that has failed the ETA planned;
  • Collecting the complete POD (Proof of Deliveries / Deliveries Orders) from drivers on the next working day upon the deliveries completion, recording POD with discrepancies caused by drivers;
  • Handling reverse logistics (empty pallets return / damaged goods / market returns etc) in the similar process mentioned above;
  • Finalising with operations the daily trucks collections and deliveries planned and executed;
  • Collecting the complete POD (Proof of Deliveries / Deliveries Orders) from drivers on the next working day upon the deliveries completion;
  • Recording POD with discrepancies caused by drivers or clients;
  • Handling the POD for reverse logistics (empty pallets return / damaged goods / market returns etc) in the similar process mentioned above;
  • Prepare summary of POD for each clients to be returned daily to weekly;
  • Proceed with invoicing via Auto-Count billing;
  • Communicating with clients on the acknowledgement of our invoices sent;
  • Ensure filing and proper record keeping is done up to date;
Reporting included and not limited to:
  • Goods deliveries report (on-time collections / on-time deliveries);
  • Incidents reports;
  • POD collection & discrepancies report;
  • Pallets return report;
  • Goods return report;
  • Delivered Goods & discrepancies POD report;
  • Returned pallets POD report;
  • Returned goods POD report;
  • POD Invoiced report.
