The Administrative Assistant - O&M supports the Operations and Maintenance department in managing documentation, scheduling maintenance tasks, processing work orders, coordinating vendors, and ensuring smooth day-to-day administrative operations for solar power plant sites. This role is crucial in maintaining compliance, ensuring data accuracy, and facilitating effective communication between field teams and office staff.
Key Responsibilities:
Maintain and update maintenance logs, service reports, and O&M records.
Prepare and process work orders, purchase requisitions, and vendor invoices.
Coordinate with field technicians for scheduling preventive and corrective maintenance.
Support compliance reporting.
Monitor and manage inventory of spare parts and maintenance tools.
Organize internal meetings, prepare meeting minutes, and track follow-ups.
Assist with audit preparation and documentation retrieval.
Communicate with vendors, contractors, and utility companies as needed.
Maintain and enforce document control practices in accordance with company policies.
Qualifications:
Bachelor's degree in Electrical.
1 year of experience in Solar.
Familiarity with solar industry practices and O&M operations is an advantage.
Key Skills and Competencies:
Strong organizational and multitasking abilities.
Proficiency in MS Office Suite (Excel, Word, Outlook).
Basic understanding of electrical or mechanical maintenance terminology.
Excellent communication skills (written and verbal).
Detail-oriented with a proactive mindset.
