Responsibilities
Supervising the day-to-day Manned Security Services operations providing quality and professional commercial security service to its customer that reflects well on the brand name of FreightWatch G Patomotoh Security Services Sdn. Bhd.
Providing a service in accordance with customer service agreements and, in accordance with the policies, procedures and systems, as laid down by the Customer.
Ensures that all applicable internal Customer operational and administrative standards, policies, procedures, instructions and orders are carried out and implemented on a timely basis and effectively managed,
Maintains confidentiality of all Customer business dealings.
Ensures that Customer is correctly invoiced/billed for services provided, including contracted work, additional and temporary services.
Ensures that expenses claimed by self and their subordinates are justified, verified and accurately documented for approval by immediate line manager and submitted on a timely basis
Check claims for overtime to ensure accuracy and justification and keep it to an absolute minimum.
Plan, organize, conduct and control the guarding operations of the area of coverage as per the laid down branch policy.
Evaluate the development potential of security personnel and ear mark them for Specialized courses, Promotions, Postings and Retraining.
Envisage problems and take prior actions to avoid/eliminate the same. As far as possible respond the incidents personally.
Make transition plan for starting the contract and develop assignment, site and post instructions of the concerned assignment.
Maintain complain register and client feedback system at the branch operation.
To report and work in tandem with Branch or Regional Manager and keep him informed on all HIGHS and LOWS of Operations in the field/site.
Prepare delegation of duties and responsibilities to his Site Security Supervisors (SO), Zone Supervisors and/or Night Patrol Officers.
Obtain report from Security Officers, Zone Supervisors and/or Night Patrol Officers.
Keep an updated list of clients and their contact persons with their telephone numbers.
Try and inculcate a sense of belongingness, a feeling of ownership amongst the guarding force so as to improve the level of services being rendered.
Conduct daily/weekly operations meetings. Evaluate the performance of the Operations personnel quarterly and provide feedback via the Branch or Regional Manager
Plan and manage the transport plan to ensure cost effective utilization of resources and timely deployment.
Operations
Directly lead / supervise / monitor the work of the site operational staff and ensure they always follow procedures and best practice.
Responsible for the ensuring the correct scheduling (vide Daily Extra) of all staff, full and proper manpower coverage at the Customer's site/s, ensures duties are recorded and monitored accurately through the relevant Command Centre and at the site as appropriate. Prevent and eradicate over-manning and poor manpower scheduling and keep overtime to an absolute minimum.
Ensures timely information updates for Time & Attendance (T&A).
Ensure that customer site/s are visited and inspected on a regular basis both scheduled and unscheduled (including day and night visits).
Ensures the preparation of site Assignment Instructions/Post Standing Orders and ensures that they are placed on every site, including temporary jobs.
Ensure basic Induction Training (SOP1) and site-specific SOP training to meet the specific site requirements is given to all staff in order that they can effectively carry out their tasks.
Always ensures the smart and correct appearance of all guarding staff (male and female) so that the image of FWG and the Customer is maintained at the highest levels.
Ensure that all company provided, and Customer provided equipment is accounted for and inventoried on site where applicable and ensure that any losses/damage are investigated immediately and reported to the line manager. Requests for repairs and or replacements as necessary on timely basis in accordance with procedures. No client site should be without equipment necessary for the direct staff to carry out their task(s).
Ensures that all major incidents and or wrongdoing by FWG staff or allegations thereof, occurring at or near Customer's sites are investigated immediately thoroughly and ensures full and accurate reporting investigation/information gathering and documentation thereof. Attends the scene if and as required. Reports immediately to the line manager and in his absence the Regional Manager.
Ensures all customer claims for loss or damage are reported immediately to the line manager and investigated immediately, properly and thoroughly and documented correctly.
Ensure proper planning for replacement & relief in case of off day/medical leave/emergency leave/annual leave/unpaid leave and absenteeism.
Ensure no personnel work continuously for more than the permissible working hours.
Requirements:
Minimum Diploma or equivalent disciplined service qualification / experience
Min 2-3 years' hands-on experience in an operational management role either civilian or disciplined services or commercial security experience
Demonstrated ability to work un-supervised and manage a team of up to 200 + staff / guards per site at multiple customer locations.
Be able to efficiently manage and control the assets of the company.
Ability to communicate effectively in English, both verbal and written
Computer literate; Microsoft Excel, Words and Power Point.
Knowledge of financial, commercial, and legal related matters an advantage
Be willing to work and relocate anywhere in the country.
Be a customer service people-oriented person.
Local language skills in English and Bahasa Malaysia.
