Order Generation Specialist

Location: Kuala Lumpur, Malaysia

Solid-line Reporting: Head of Industrial Sales, Malaysia

Functional Reporting: Manager Order Generation, Industrial SEA

Goal of Position

  • The order generation function is created to ensure the Customers expectations on Schaeffler Products and Services are according to our sales guidelines, pre-set discounts, pricing schemes, thereby providing a quotation and to response in a timely manner.
  • The role main support is to our sales team with the common objective to convert the enquiries and quotations into orders.
Job Responsibilities
  • Ensure KPIs are met a) Quotation closure (RFR) + 2 days response time (depending on no. of items) b) Expired quotations are closed and approved before sending to customers
  • Robotic Program Automation (RPA) ownership along to look into improvement of processes within Order Generation scope and to ensure the current RPA is operating well.
  • Responsible to run the data file on monthly basis and maintain updates for Material master list.
  • To assist sales or pricing team on Customer sales history for price comparison for tenders/ projects or checks as required by External Auditors.
  • To assist the customers, mainly distributors to map in our valid material status and part numbers maintain in our system which includes both customer part numbers as well as Schaeffler material numbers and to store it in the central folder for both OG and OP Team.
  • Any matters arising from customers using Medias, to liaise with ECOM team for assistance to troubleshoot.
  • Maintenance of customer material no. if any into the Master customer file & into SAP (combination of SAP material vs customer code)
  • Mapping of material no. for customer to input bulk order into medias.
  • To retrieve tenders/enquiries from customers\' portals for OEM/TW/MRO for sales team and to upload offer quotation to customer\'s portal.
  • To ensure all valid customers quotation have to go through quote release process via SAP system Contracts Management support to Sales when required
  • Close collaboration with Sales, Pricing, Customers and others to maintain good relationship cross- functions.
  • Run standard daily/weekly/monthly reports, when required. Coordinate relevant tracking and reporting to support Sales team in converting enquiring, quotes to Sales. - example regular tracking/coordinating of Quotes to Sales conversion.
  • Active participation in monthly meetings.
  • Value added service proposal/ quotation as per customer\'s requirements
i.e. returnable box, milk run, value added service (quoting & designing before operation starts) * Capacity survey for new project
  • Any other tasks assigned by team leader to support the team besides the routine tasks.
*In addition to the duties listed above, the position holder must carry out tasks assigned by his/her superior that are essentially related to his/her duties.

Your Professional Profile Should Include
  • Degree in Supply Chain Management / Diploma in Logistics or equivalent education, with minimum 2-4 years relevant experience.
  • Knowledge in Microsoft Office, also SAP S4 Hanna or EP1 (MM and SD modules)
  • Some knowledge on data analysis skills with pivot tables in EXCEL.
  • Will be trained on our online Ecommerce Platform Medias and will be a user in this area. General understanding of RPA (Robotic Programming Automation) and how it is used in daily work.
  • Intercultural skills and prior experience of working and communication with various stakeholders inter-department-wise.
  • Good communication skill in English and another language (Local Chinese Dialect is a plus)
  • Able to work independently and in a team, in a cross-cultural environment.
  • Good Business & Commercial sense and understanding.
