Job Description

We are seeking a highly meticulous and proactive

Payroll Officer

to handle end-to-end payroll operations for all our fitness clubs nationwide. You will be responsible for ensuring timely and accurate salary disbursements, statutory compliance, and detailed payroll reporting. Your role will also include preparing yearly EA forms and submitting Borang E to LHDN, ensuring full compliance with Malaysian tax regulations.

This role plays a critical part in supporting employee satisfaction and smooth operational management.

and Responsibilities:



1. Payroll Administration & Processing



Manage

full-cycle payroll

for all employees (full-time, part-time, hourly-based PTs, and contract staff). Accurately calculate salaries, allowances, overtime, sales commissions, incentives, and deductions. Verify attendance, leave, timesheets, claims, and commission sheets. Prepare and process adjustments for new hires, resignations, promotions, transfers, and terminations. Ensure

timely payroll disbursement

via bank transfer, maintaining strict confidentiality.

2. Statutory Compliance & Reporting



Ensure payroll processes comply with

Malaysian Labour Law

and company policies.Calculate and submit statutory contributions including:

EPF (KWSP)

SOCSO & EIS

HRDF Levy

PCB (Income Tax Deduction at Source)


Prepare, verify, and submit

Borang E

(Employer's Annual Tax Return) to LHDN.Prepare and distribute

EA forms

to employees within statutory deadlines.

Handle

employment contract stamping

with LHDN for employees to ensure tax compliance. Liaise with auditors, HR, and Finance for payroll audits and compliance verification.

3. Payroll Reconciliation & Reporting



Reconcile payroll with Finance's general ledger and club cost centers. Maintain accurate payroll records, reports, and payslip distribution logs. Prepare monthly payroll reports, highlighting payroll costs, incentives, allowances, and discrepancies. Analyze payroll data to identify trends, errors, or irregularities and propose corrective actions.

4. HR & Employee Support



Serve as the first point of contact for employee payroll queries. Explain salary calculations, deductions, and statutory contributions clearly.Collaborate with HR for leave balance, OT, claims, and commission validations. Support Club Managers in ensuring accurate attendance and commission reporting.

5. Process Improvement & System Management



Review and optimize payroll procedures to improve accuracy, efficiency, and timeliness. Assist in the implementation and maintenance of HRIS/payroll software. Ensure payroll data integrity across all clubs and departments.Keep updated on changes in payroll laws, regulations, and best practices.

Key Requirements :



Diploma/Degree in Human Resources, Accounting, Finance, or related field. Minimum

2-3 years HR, payroll experience

, preferably in fitness, retail, or multi-location operations.Strong knowledge of

Malaysian employment law, EPF, SOCSO, EIS, HRDF, PCB

. Experience preparing

EA forms, Borang E

, and handling

employment contract stamping

with LHDN. Proficient in HRIS/payroll software Excellent Excel skills (pivot tables, formulas, v-lookup). High integrity, accuracy, and attention to detail. Ability to handle multiple deadlines and work independently.
