Payroll Senior Executive - Japanese Speaker

About the role

This role contributes to compliant Human Resource (HR) operation management and employee satisfaction through accurate payroll and benefit operations aligned with HR strategy and also change management for excellence and risk mitigation.

MAIN PURPOSE OF THE JOB

Operational Excellence:

Manage the T2P team for all countries assigned to provide effective support on end-to-end HR Services processes for Payroll, Time & Attendance and Benefits admin covering the following areas:

  • Ensuring E2E Time & Attendance including clock in /clock out for IA/manufacturing.
  • Ensuring E2E Payroll process.
  • Ensuring post payroll report including GL mapping and GL reconciliation.
  • Ensuring E2E Benefits Admin in each county under KL Captive scopes.
  • Proactive support the BPO Payroll transition within the Regions.
  • Stakeholder Management to neighboring functions such as Treasury, A2R, ITS, HR COE Performance & Rewards, COE TA & TM, HRBPS, Finance Business Partner, Legal etc.
  • Ensuring proactive support for P-Cost \xe2\x80\x93 budget preparation
  • Vendors Management, managing Global vendor, and local vendor for payroll T & A, and Benefits.
  • Tax management for all employees including International Mobility.
  • In collaboration with Performance & Reward to process shares management (such LTI and Shares/Stock)
  • SPOC for Internal and External Audit for Payroll, Benefits, T & A.
  • Movement: within organization, domestic relocation, international transfer (short term), International Permanent Transfer (IPT)
  • As Tier 2 level escalation for T2P
  • Ensuring local articles for T2P for each country.
  • Ensuring proactive support for new Legal Entity (LE) or other process for integration related with Merger and acquisition (M&A), such as CHLOE, PLUTON, etc.
Process Excellence:
  • Deployment of Global Core Model and tools for Payroll, T & A, and Benefits for JPAC Region
  • Ensuring all DTP updated in quarterly basis.
  • Ensuring all SPA with the country review annually.
  • Global Core Model deployment and revised or updated quarterly.
  • If needed communicate with all neighboring functions, to have clear accountability on the RACI.
  • Ensuring all the gaps are closed in timely manner and get approval from Global for exception.
  • Ensuring all DTP updated and align with Quarterly Global Core Model update.
Ensuring Executive KPIs and Non-Executive KPIs for All country assigned are fulfill the company standard requirements.
  • Identify the pain points, discuss with related stakeholder for alignment, deliver the KPIs and clear RACI, who doing what.
Process Champions for Personal Cost budgeting, TM1 and Payroll Journal.

Compliance:
  • Ensuring all CSA are closed on time; follow up on Audit finding and closed all the finding in timely manner. Update the IC & P system report re CSA and Audit status.
Continuous Improvement:
  • Identify process improvement opportunities through elimination of redundant activities.
  • Participate in process automation initiatives and ensure seamless adoption and transition.
  • Participate in global projects as required.
  • Process Improvement Champion for Payroll/Benefits/T&A
EXPECTED SKILL

Functional
  • Thorough understanding of end-to-end payroll processes and activities (essential).
  • Understanding of time & attendance, compensation, benefits and pension processes (advantageous).
  • Good understanding of HR process and activities (essential).
  • Awareness of data privacy rules (GDPR etc.) (advantageous).
  • Strong problem solving, deductive and analytical skills (essential).
  • Experience in running HR/Payroll services within a Business Services organization (advantageous).
  • Good business acumen (advantageous).
  • Master in Excel.
Technical
  • Hand-on experience of Workday and Human Capital Management (HCM).
  • Knowledge of Microsoft Office with advance level proficiency in Excel.
Interpersonal
  • Ability to interact with internal and external clients in a professional manner.
  • Team player, able to work collaboratively transversally and with EE front line teams with an end-to-end mindset.
  • Good communication skills at all levels, verbal and written.

BACKGROUND AND EXPERIENCE
  • Graduate or master\xe2\x80\x99s degree with HR or business administration, or Payroll Specific qualification and accreditation, or equivalent (essential)
  • Hands on experience in a Payroll / Payroll Administration role preferably in an international multicultural environment (advantageous)
  • Experience of working with a payroll outsourced provider (advantageous)
  • Experience working in an HR related role other than Payroll (advantageous)
  • Data management experience (essential)
  • Team supervision in a Business Services environment (advantageous).
  • Fluent in English, and other local language is desirable (Japanese for this position).
