The CEO Assistant plays a critical role in supporting the chief executive officer of a premium fast-moving consumer goods (FMCG) company with extensive international operations. This position serves as the primary support function for the CEO, ensuring optimal time management, strategic coordination, and seamless communication across global stakeholders. Key Responsibilities
1.1 Executive Administrative Support
Manage and coordinate the CEO's complex daily schedule, including appointments, meetings, and international commitments, ensuring optimal time allocation and prioritization of strategic initiatives .
Arrange comprehensive business travel logistics, including international flight bookings, accommodation, transportation, and detailed itineraries, with consideration for time zones, visa requirements, and CEO preferences .
Prepare and review high-quality reports, presentations, and documents for internal and external stakeholders, including board meetings, investor presentations, and strategic planning sessions .
Provide comprehensive administrative support through document filing, expense reporting, email management, and office supply replenishment to ensure seamless operations .
1.2 Communication and Stakeholder Management
Act as the primary point of contact between the CEO and internal/external stakeholders, including board members, senior executives, international partners, and clients, demonstrating exceptional professionalism and discretion .
Screen and prioritize communications, including phone calls, emails, and other correspondence, ensuring urgent matters receive prompt attention while minimizing unnecessary distractions for the CEO .
Facilitate clear communication among global stakeholders to align on project objectives and responsibilities, serving as a liaison between the CEO and international teams .
Draft and review communications on behalf of the CEO, ensuring consistency with company messaging and brand standards across all touchpoints .
1.3 Strategic and Business Support
Participate in strategizing brand direction with the CEO, providing insights and support for key initiatives driving international expansion .
Conduct research and analysis on industry trends, market dynamics, and competitive landscape to support the CEO's decision-making process .
Assist in project management activities, including tracking progress, coordinating resources, and providing updates to ensure strategic initiatives remain on schedule .
Attend internal and external meetings with or on behalf of the CEO when necessary, recording minutes, tracking action items, and ensuring follow-through on decisions .
Qualifications and Skills
2.1 Experience and Education
Bachelor's degree or higher in Business Administration, Management, or a related field; advanced degrees are advantageous.
Minimum 3-5 years of experience as a Personal Assistant, Executive Assistant, or similar role supporting C-level executives, preferably within the FMCG, food & beverage, or consumer products sectors.
Proven track record of managing complex schedules, international travel arrangements, and high-level administrative functions in a fast-paced, global environment.
Experience in the FMCG industry is highly desirable, with particular emphasis on premium or health-focused product categories.
2.2 Technical Proficiencies and Language Skills
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to quickly adapt to new technologies and CRM systems.
Fluent English is essential, both written and verbal, with TOEIC scores of 700+ considered advantageous; additional language capabilities such as Chinese languages are highly valued for international operations.
Strong technical aptitude with the ability to prepare sophisticated presentations, manage data analysis, and utilize customer relationship management systems effectively.
