Designation: Personal Assistant to Managing Partner
Position Overview
The Personal Assistant (PA) to the Managing Partner provides high-level executive, administrative, and operational support to ensure the smooth functioning of the Managing Partner's office. The PA acts as the primary point of coordination between the Managing Partner, firm partners, clients, and staff, maintaining confidentiality, efficiency, and professionalism at all times.
Key Responsibilities
Manage the Managing Partner's calendar, appointments, and travel arrangements, ensuring optimal time management and prioritisation.
Prepare, format, and proofread correspondence, legal documents, reports, and presentations with a high standard of accuracy and professionalism.
Coordinate internal and external meetings, including preparation of agendas, briefing papers, and follow-up action items.
Handle confidential and sensitive information with absolute discretion.
Liaise with clients, regulatory bodies, and professional counterparts on behalf of the Managing Partner where appropriate.
Maintain organised filing systems (both digital and physical), including case files, contracts, and administrative records.
Track deadlines, submissions, and follow-ups related to firm management, client matters, and project deliverables.
Assist in billing, client account management, and basic office administrative support as required.
Perform other duties and special projects assigned by the Managing Partner to support the firm's operations and business development initiatives.
Preferred Qualifications & Skills
Diploma or Degree in Business Administration, Legal Studies, or a related discipline.
Prior experience as a
Personal Assistant, Executive Assistant, or Legal Clerk
(in a law firm or corporate environment) is an advantage but
not mandatory
.
Excellent written and spoken communication skills in English (knowledge of Malay or Mandarin is an added advantage).
Strong organisational skills with the ability to multitask and prioritise competing demands.
Proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook) and familiarity with document management systems.
Professional appearance, high integrity, and a strong sense of confidentiality.
Resourceful, proactive, and able to work independently with minimal supervision.
Job Type: Full-time
Pay: RM3,000.00 - RM5,000.00 per month
