Job Description


Position Overview: We are seeking a highly organized and proactive Personal Assistant to provide comprehensive support to the CEO. The ideal candidate will be capable of managing the CEO\'s calendar, arranging appointments, coordinating travel plans, handling personal financial matters, and ensuring all administrative tasks are efficiently executed. This role requires exceptional attention to detail, discretion, and the ability to work autonomously. Responsibilities: Calendar Management: Schedule the CEO\'s calendar on a monthly, weekly, and daily basis, ensuring efficient use of time. Coordinate internal and external meetings, aligning schedules with the CEO\'s priorities and preferences. Meeting Minutes: Prepare minutes of the meeting for the Weekly Sales Review, and Executive Committee (EXCO) Meeting, as well as complimenting minutes for the Board of Directors (BOD) Meeting. Travel Coordination: Plan and manage all travel arrangements for the CEO, including flights, accommodations, and transportation. Coordinate domestic and international business trips and respond to invitations from external parties. Personal Affairs Management: Organize and arrange vacations for the CEO\'s family. Verify credit card transactions related to travel and accommodation before processing. Financial Administration: Prepare summaries of the CEO\'s income and expenses. Update records of the CEO\'s investments and personal property. Special Events Reminders: Remind the CEO of important dates such as event launching and monthly meetings with the brands. Key Management: Maintain passports for the CEO\'s servants. Safeguard spare keys for the CEO\'s vehicles, ensuring they are securely stored in a designated location, such as a locked key cabinet or a safe. Financial Verification and Reconciliation: Verify all petty cash transaction preparations before the CEO\'s approval. Administer the company\'s credit card activity and pass it to the Finance team for payment process every month. Ensure the credit card expenses and claims (phone bills, medical claims) are recorded and claimed within the month. Ad Hoc Tasks: Undertake any additional tasks or responsibilities as instructed by the CEO. Monitor CEO\'s driver\'s attendance on a daily basis. Prepare hard copies of documents and materials for Executive Committee (Exco) meetings.
