high-initiative, fast-paced, detail-oriented Personal Assistant
to shadow both Co-Founders (Ivor & Meng).
You'll serve as the
executional right hand
, driving project management, business development, and founder personal-brand content operations.
This role blends
operations discipline
with
creative speed
-- you'll track cross-department tasks, coordinate with external partners, and help transform the founders' daily work into meaningful, high-performing social-media content.
Shadow both founders in meetings, trips, and events -- capture, document, and track all follow-ups and deliverables.
Maintain project dashboards / trackers (Google space) ensuring deadlines and ownership clarity.
Convert founders' ideas, notes, and voice memos into structured project briefs.
Coordinate schedules, travel logistics, and internal cross-team workflows.
Business Development & Growth
Prepare partnership decks, follow-up emails, and proposals (Watsons, distributors, tourism boards, hotels, etc.).
Research new market or collaboration opportunities (Malaysia, Singapore, UAE, US, SEA).
Maintain a partner pipeline / CRM and assist founders in deal follow-ups.
Support pitch meetings, investor updates, and trade-show preparation.
Personal Branding & Content Documentation
Shadow founders
(especially Ivor) to
record day-to-day business moments, meetings, and behind-the-scenes content
.
Identify storytelling angles from daily operations (product launches, events, R&D, travel) to repurpose into founder content.
Organize, tag, and send raw footage to in-house editors; ensure editing deadlines are met.
Plan and schedule weekly "Founder Diary" content calendar (inspired by Alex Hormozi / Diary of a CEO style).
Draft content briefs with hooks, captions, and CTAs for the editing team.
Coordinate brand-building shoots, interviews, podcasts, or travel vlog sessions.
Administrative & Executive Support
Manage confidential correspondence, agreements, and document filing.
Prepare meeting summaries and ensure task completion by responsible teams.
Handle both founders' calendars, aligning priorities and avoiding overlaps.
Arrange travel, flights, visas, and accommodation for business trips.
Strategic Support
Consolidate weekly dashboards (sales, marketing, ops performance).
Prepare talking points or summaries for investor / partner / media sessions.
Assist with major campaigns, events, or product-launch coordination.

2-4 years' experience in project coordination / executive support / business development.
Comfortable on-site with camera recordings and social media tools (TikTok, Reels, CapCut interface).
Excellent English (verbal & written); Mandarin or Malay is a plus.
Willing to travel for campaigns, retail launches, and founder content trips.
