Position: Procurement and Administrative Associate Tenure: 1 Year Contract Basic Salary: RM 5800 to RM 7000 Location: Putrajaya Working Hour: 8 AM TO 5PM Job Responsibilities The Procurement and Administrative Associate is accountable for supporting the procurement and administrative services, ensuring their effectiveness, transparency, and integrity, and promoting a client-focused, quality and results-oriented approach for the organization. 1. Implement UNU-wide procurement processes. Support the Supply Chain Management (SCM) ERP business process, assist users with issue resolution and update user guides Monitor and report on procurement transactions and spend analysis on monthly basis Ensure compliance of procurement activities with UN/UNU rules, regulations, policies, and strategies implementation of the effective internal control proper functioning of a client-oriented procurement management system 2. Handle asset management business processes and oversight Handle all aspects of asset management (AM) for the Putrajaya office, including tagging assets immediately upon receipt update physical attributes of assets such as tag number, serial number, asset location, and custodian information into the AM module issue Personal Property Receipts (PPR) for custodial items and maintaining a register of PPR items to ensure assets are safeguarded and returned perform physical verification and reconcile the results to the AM asset register and resolve discrepancies. 3. Support travel business process Support the UNALL Travel ERP business process, assist users with issue resolution and update user guides Monitor and report on travel transactions and spend analysis on monthly basis 4. Handle general UNU Putrajaya office administration 5. Supports the implementation of year-end financial closing and audit findings and recommendations 5. Performs other duties, as requested by the supervisor. Job Requirements Bachelor\'s degree in procurement, business administration or related field Specialized training or certification in public procurement e.g. CIPS (Chartered Institute of Procurement & Supply) or similar certification is an asset At least 6 years of progressively responsible working experience in procurement, preferably gained in an international environment Ability to work under minimal supervision and with a high level of resilience Strong analytical skills, meticulous attention to detail, process oriented and mastery of current office software (MS Word, Excel, etc.) Proven organizational skills and ability to take initiative, prioritize and deliver results in a fast-paced environment. Knowledge of an Enterprise Resource Planning (ERP) system (preferably Oracle/PeopleSoft) would be an asset. Excellent team player with strong communication and interpersonal skills, and ability to work in a multi-cultural, multi-ethnic environment with sensitivity and respect for diversity.
